Role: Public Safety Planner
Location: Brooklyn, NY 112381 (Onsite)
Duration: Contract Role
5-6 years of experience MS Project.
SCOPE OF SERVICES
Scheduling
Develop, maintain, and optimize comprehensive project schedules using industry-standard scheduling tools and Public Safety Programs processes
Coordinate resource allocation across multiple concurrent projects and initiatives
Monitor schedule performance and identify conflicts, delays, and opportunities for schedule optimization
Prepare schedule reports including critical path analyses, program milestones, 30-day look-aheads, and timeline impact assessments
Facilitate scheduling meetings and coordinate timeline dependencies across project teams
Assist Project Managers with calendar management for milestones, deliverables, and stakeholder engagements
Project Planning & Strategy
Define project approach, resource requirements, roles, and responsibilities
Develop project charters, scope statements, and project deliverables
Create and manage project plans and communication plans
Develop estimates and assumptions for schedule, effort, and cost using established models
Build, maintain, and organize project schedules
Coordinate site visits to ensure project requirements are aligned and validated
Assistant Project Management
Provide direct support to Project Managers in planning, execution, and performance tracking
Monitor deliverables, milestones, and metrics against baselined expectations
Coordinate cross-functional activities and ensure effective communication among stakeholders
Assist with risk identification, documentation, and mitigation planning
Support the creation of project status reports, presentations, and executive briefings
Analytical Support
Conduct qualitative and quantitative data analysis to support project decision-making
Develop and maintain dashboards, metrics, and KPIs using program software tools
Perform trend and variance analysis on schedules
Create reports and visualizations to communicate key insights
Identify patterns and recommend process improvements across projects
Assist with forecasting and capacity planning
Document Management
Establish and maintain comprehensive document management systems
Ensure version control, access permissions, and retention-policy compliance
Coordinate document review cycles, approval workflows, and audit processes
Maintain repositories, templates, and standardized documentation
Support regulatory compliance through proper record-keeping
Manage document distribution and communication with stakeholders
Create and update process documentation and standard operating procedures
Administrative Support
Support PMO functions including change requests, scheduling coordination, and reporting activities
Ensure proper storage and maintenance of project artifacts throughout the project life cycle
MANDATORY SKILLS / EXPERIENCE
(Candidates without the required qualifications will not be considered.)
Bachelor’s degree from an accredited college
Minimum 5 years of experience managing medium- to large-scale projects
At least 4 years of project management service experience
Advanced proficiency in Microsoft Project
Strong analytical and problem-solving abilities with high attention to detail
Excellent written and verbal communication skills
Demonstrated ability to manage multiple priorities and meet deadlines
Solid understanding of project management principles and best practices
Experience with process improvement and organizational development initiatives
Document management experience using SharePoint
Proven ability to serve as the focal point of contact for project management, financial, administrative, and technical matters
Proficiency in MS Word, PowerPoint, Project, and Visio
Experience planning and scheduling projects with significant dependencies
DESIRABLE SKILLS / EXPERIENCE
PMP Certification
Experience managing third-party service providers
Background in data analytics, business intelligence, or process improvement
SharePoint development experience
Experience with Smartsheet
