Payroll and AP Specialist

Key Responsibilities:
• Review, process, and manage payroll for 60 employees, ensuring accuracy and compliance with company policies, federal, multi-state, local, and prevailing wage regulations.
• Oversee timekeeping systems to ensure accurate recording of employee hours worked for job costing.
• Process employee benefit deductions such as health insurance, retirement contributions, etc.
• Update employee information within the payroll system, including new hires, terminations, and changes to pay rates.
• Manage full-cycle accounts payable processes, including invoice receipt, three-way matching, coding, approval routing, and timely payments.
• Reconcile vendor statements and resolve discrepancies with suppliers.
• Maintain accurate vendor records and assist with 1099 preparation and reporting.
• Work closely with the payroll function to ensure proper allocation of labor-related expenses and vendor payments.
• Assist in month-end closing processes related to payroll and accounts payable.
• Generate reports on payroll and AP activity for management review.
• Ensure compliance with tax filings and payroll-related reporting requirements.
• Collaborate with HR to update employee payroll data and resolve discrepancies.
• Compile and submit Prevailing Wage Certified Payroll reports to DIR and LPCtracker.
• Perform other basic payroll and accounts payable duties as assigned.
Qualifications:
• Bachelor’s degree in Accounting, Finance, or a related field preferred.
• 7 years of experience in accounting/payroll, with at least 5 years handling payroll and accounts payable preferred.
• Proficiency in QuickBooks, TSheets, and Intuit Enterprise Suite.
• Strong knowledge of DCAA, GAAP, and payroll compliance.
• Highly proficient in Excel (formula functions, pivot tables, and charts).
• Effective communication skills and a team-oriented mindset.
