Position Summary
The Marketing Coordinator is a key member of the CleanSpace marketing team and plays a central role in supporting business development activities, brand consistency, and external communication initiatives. This position supports proposal development, digital content execution, event coordination, collateral management, and internal communication workflows across multiple departments.

Core Responsibilities
Proposal & Sales Support
- Assist in the preparation of proposal packages, qualification packages, interview decks, and custom presentations.
- Maintain and update proposal templates, resumes, past project profiles, and boilerplate language for consistency.
- Coordinate project information gathering across departments (design, construction, engineering, manufacturing).
- Support sales and business development team with client follow-up materials, scheduling prep, and pre-meeting collateral preparation.
Marketing Collateral & Brand Management
- Assist in the development, proofing, and distribution of brochures, one-pagers, case studies, and branded assets.
- Maintain and organize the internal marketing asset library, ensuring brand accuracy and version control.
- Coordinate with external printers, design partners, videographers, and photographers as needed.
- Support internal brand compliance by reviewing outgoing documents and presentations for alignment with guidelines.
Digital Marketing & Content Execution
- Support management of company website updates (copy refreshes, project pages, team pages, location pages).
- Assist with planning and posting to company social media accounts (LinkedIn primary).
- Help execute email marketing campaigns, newsletters, and automated touchpoints within HubSpot.
- Track performance analytics for social media, website traffic, and email campaigns; generate summary reports and insights for leadership.
Events, Conferences & Client Engagement
- Support planning and logistics for conferences, client meetings, open houses, and webinars.
- Coordinate conference registrations, booth shipments, promotional items, etc.
Administrative & Cross-Functional Responsibilities
- Monitor and manage marketing inventory including brochures, samples, and branded promotional items.
- Assist with special projects tied to internal culture, recruiting, and strategic campaigns.
Qualifications
Education & Experience
- Bachelor’s degree in Marketing, Communications, Business, or related field preferred.
- 1–3 years of experience in marketing coordination or proposal support (A/E/C, life sciences, or B2B preferred but not required).
Skills & Competencies
- Strong organizational, time management, and project coordination skills.
- Excellent written and verbal communication abilities, with strong attention to detail.
- Proficiency in Microsoft Office Suite; familiarity with Adobe InDesign is required.
- Basic skills or interest in HubSpot (CRM email marketing) and LinkedIn platform management.
- Ability to work independently while supporting collaborative, cross-functional workstreams.
- Comfort operating in environments with changing needs, shifting priorities, and tight timelines.
