Classic Westchester is seeking a highly organized and dependable Administrative Assistant to support one of our clients. This role will be working in the company’s headquarters in a very busy legal department in Hoffman Estates, IL. This is an on-site, temporary position ideal for someone who thrives in a fast-paced, demanding environment and enjoys keeping things running smoothly behind the scenes. This individual is a ‘does what its takes’ to get the job done. Must be flexible and willing to work overtime.
Key Responsibilities:
- Manage calendars, schedule meetings, and coordinate communications using MS Outlook.
- Review and prioritize incoming emails to ensure timely attention to critical matters.
- Assist the legal department by organizing and distributing Certificates of Insurance and related documentation.
- Provide general administrative support including document tracking, filing, and correspondence management.
- Maintain professionalism and discretion while juggling multiple priorities under tight deadlines.
Qualifications:
- Minimum 2 years of administrative assistant experience.
- Proficiency in MS Suite (MS Outlook for scheduling meetings).
- Excellent organizational, multitasking, and communication skills.
- Proven ability to adapt quickly, stay calm under pressure, and maintain attention to detail.
- Dependable, punctual, polished, and eager to take initiative.
