Our client, a mission-driven nonprofit organization, is seeking a Temporary Receptionist to join their team and provide coverage through mid-December, with the possibility of extension. About the Role
Reporting to the Office Manager, the Receptionist serves as the first point of contact for clients and visitors, ensuring a professional, welcoming, and organized front office experience. This person will support daily office operations, manage phones, assist with supply coordination, and collaborate closely with program and clinical staff to ensure seamless support across departments.
Key Responsibilities
- Greet and direct clients, visitors, and vendors with professionalism and warmth.
- Answer incoming calls and route them appropriately while maintaining confidentiality.
- Support office operations, including ordering supplies, coordinating deliveries, and maintaining equipment.
- Screen all visitors and staff for compliance with safety protocols.
- Track and manage inventory of office and client materials (e.g., MetroCards, cell phones, snacks, incentives).
- Reconcile fiscal logs and assist with maintaining accurate supply records.
- Assist vendors with questions or direct them to appropriate contacts.
- Enter and retrieve relevant client and administrative information from internal databases.
- Coordinate courier services and ensure timely handling of incoming and outgoing packages.
- Maintain overall tidiness and organization of the office environment.
- Report maintenance or environmental issues to management and facilities as needed.
- Complete special projects or administrative tasks assigned by leadership.
- Uphold confidentiality and HIPAA standards in all communications and documentation.
- Contribute to a positive, inclusive workplace and support colleagues across programs.
Qualifications & Skills
- 2 years of experience working in an office, reception, or administrative role.
- High school diploma or equivalent required.
- Proficiency in Microsoft Office, especially Excel and Outlook.
- Excellent communication, organization, and multitasking skills.
- Strong judgment and ability to stay composed in fast-paced environments.
- Experience working with diverse populations using a trauma-informed, client-centered approach.
- Ability to collaborate effectively with interdisciplinary teams.
- Prior experience in a nonprofit, mental health, or legal office setting is preferred.
- Familiarity with Alternatives to Detention (ATD) or ATI programs and the criminal justice system a plus.
- Bilingual language skills strongly preferred (Spanish, Mandarin, Korean, or French-Creole).
- Must pass a background check if hired
