Job Summary
We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and team members. Your organizational skills and office management expertise will ensure smooth daily operations, creating a positive first impression and supporting the overall efficiency of our office environment. Duties

  • Greet visitors professionally, ensuring a warm and friendly first impression while managing check-in procedures
  • Answer, direct, and manage multi-line phone systems with excellent phone etiquette and clear communication
  • Handle incoming correspondence, emails, and inquiries promptly and accurately
  • Maintain organized filing systems, data entry records, and ensure proper documentation using Microsoft Office and Google Workspace tools
  • Support office management tasks such as calendar management, appointment scheduling, and proofing documents for accuracy
  • Assist with clerical duties including typing, proofreading, filing, and data entry to support administrative operations
  • Provide customer support by addressing inquiries efficiently and courteously while maintaining a positive attitude
  • Manage office supplies inventory and coordinate with vendors as needed to ensure smooth office functioning
  • Perform basic bookkeeping tasks using QuickBooks or similar accounting software when required

Qualifications

  • Proven experience in office management or administrative roles with strong clerical skills
  • Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Exceptional customer service skills with professional phone etiquette and bilingual abilities preferred for diverse client interactions
  • Experience with multi-line phone systems, filing systems, calendar management, and proofreading documents
  • Previous experience as a receptionist in medical or dental offices is a plus but not required
  • Ability to handle confidential information discreetly and maintain professionalism at all times
  • Personal assistant experience or familiarity with office bookkeeping using QuickBooks is advantageous
