Under the direct supervision of the Recreation Operations Manager, the Recreation Program Coordinator provides coordination, administrative, and on-site operational support for facility rentals, programs, and events conducted at Central Park.
This position assists with rental logistics, customer service, facility operations, program support, and seasonal staff coordination to ensure high-quality service delivery and positive guest experiences. The Recreation Coordinator supports implementation of established policies and procedures and helps ensure smooth daily operations.
Hiring Range: $35.76 - $46.48 per hour

- Tuesdays, 8 a.m. – 4:30 p.m. or evenings as needed
- Wednesday, 8 a.m. – 4:30 p.m. or evenings as needed
- Thursdays, 11:30 a.m. - 8 p.m. or daytime as needed
- Fridays, 10 a.m. – 6:30 p.m. or 12 – 8:30 p.m. or 3:30 p.m.– 12 a.m.
- Saturdays, 8:30 a.m. – 5 p.m. or 12 – 8:30 p.m. or 3:30 p.m. – 12 a.m.
- Sunday and Monday daytime or evening hours as needed

- Assist with coordination of facility rentals, meetings, programs, and community events.
- Respond to rental inquiries and provide information regarding availability, amenities, policies, and pricing.
- Conduct facility tours for prospective renters.
- Support preparation of rental paperwork, confirmations, permits, and required documentation.
- Ensure rental agreements, waivers, and insurance documentation are completed and on file.
- Assist with monitoring events to ensure compliance with rental policies and city regulations.
- Assist with coordination of event logistics including room layouts, catering details, and vendor access.
- Lead and assist with room set-ups and take-downs, including tables, chairs, staging, and AV equipment.
- Provide on-site support during rentals and programs to address customer needs and troubleshoot issues.
- Serve as on-site point of contact for renters, vendors, and program participants.
- Monitor facility cleanliness, room conditions, and equipment functionality.
- Assist with opening and closing procedures and facility security protocols.
- Respond to incidents and complete incident/accident reports as required.
- Provide courteous and professional service to residents, guests, vendors, and program participants.
- Address routine questions and resolve customer concerns; escalate complex issues to supervisor as needed.
- Support Destination Woodbury efforts by connecting guests to local resources, hotels, and amenities.
- Promote rentals and recreation opportunities through direct outreach and engagement.
- Enter and maintain accurate information in RecTrac and other registration/reservation systems.
- Process payments and assist with daily deposits in accordance with established procedures.
- Maintain accurate rental and program records.
- Assist with tracking attendance, participation data, and basic program metrics.
- Assign and coordinate work for seasonal and part-time staff during rentals and events.
- Assist with onboarding and training in customer service expectations and event procedures.
- Support scheduling coordination as directed by the Recreation Program Specialist.
- Assist with development and distribution of promotional materials including flyers, digital displays, and social media content.
- Ensure rental and program information is accurate on the website and registration system.
- Support public outreach efforts for Central Park programs and events.
- Serve on committees or work groups as assigned.

- Perform other duties as assigned.
- High school diploma or equivalent.
- One (1) year Experience coordinating recreation programs, facility rentals, or similar services in a municipal, community, or hospitality setting.
- Knowledge of Microsoft Office applications including Word, Excel, PowerPoint and Publisher.
- Possession of a valid driver’s license or have the ability to obtain prior to employment and have the ability to drive.
- Associate’s or Bachelor’s degree in Parks & Recreation, Recreation Management, Public Administration, Education, or related field.
- Two (2) years’ experience (full or part-time) coordinating recreation programs, facility rentals, or similar services in a lead role, for a municipal, community, or hospitality setting.
- Knowledge of RecTrac registration software
- Experience supervising seasonal/part-time staff
- Experience with facility events and rental coordination in a community/municipal setting
