Job Duties:
We are hiring a detail-oriented and customer-focused professional to serve as an Account Clerk III. This position supports financial, procurement, payroll, and administrative operations across multiple departments. The selected candidate will play a key role in ensuring accuracy, compliance with applicable regulations, and high-quality service to internal staff and citizens.
- Utilize computer systems to run databases, pay bills, and order supplies.
- Review invoices/purchase requests for any discrepancies, correct budget coding, and/or approvals needed to ensure timely and appropriate payment.
- Ensure all purchases comply with the Virginia Public Procurement Act and all applicable City and departmental requirements, policies, and procedures.
- Match invoices to work orders: reconcile, document, research, and resolve all discrepancies or errors promptly.
- Research, track, and resolve all accounting issues.
- Follow purchase orders through to completion, including obtaining quotes, approvals, and status updates for departments.
- Create and maintain accounting spreadsheets and reports.
- Reconcile the City’s procurement card and financial transactions that affect multiple budget units.
- Register staff for training and certifications and make all travel arrangements for staff.
- Maintain and order all office supplies for multiple departments.
- Complete all required documentation for purchases with the City’s purchasing card or purchase orders.
- Provide excellent customer service to internal staff and citizens.
- Ability to foster and maintain business and vendor relationships.
- Assist with processing personnel time and leave actions
- Assist with advertising vacant positions and the new hire process
- Assist with clerical work and interoffice support efforts
- Other duties as assigned

Minimum Requirements:
MINIMUMS: High school or GED plus three (3) years experience in such positions as account clerk or bookkeeper; or any equivalent combination of experience and training which provides the required knowledge, skills, and abilities. SPECIAL REQUIREMENTS: All employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies. May require a passing score of 30 words per minute on a typing test.

Preferences:
- Three years of progressively responsible experience performing bookkeeping, accounts payable,accounts receivable, General Ledgers, and reconciliation experience.
- Experience providing customer service (internal and external customers and vendors)
- Proficient with Microsoft Office, including Outlook, Word, Excel, or comparable software.
- Government procurement experience - Experience working in Financial Software and payroll software.
- Experience with inventory control.
- Experience in a fast-paced deadline-driven environment
