The Office Specialist I in the Public Utilities Department is responsible for providing Department level administrative support, office organization and office management to the assigned department. This role plays a crucial part in ensuring the efficient operation of the department by maintaining accurate records, assisting with departmental budgets, and facilitating various administrative functions. Responsibilities require considerable independent work, judgment, discretion, processing of operational and administrative work, and tactful communication with the public.
Responsibilities
- Administrative Support: Provide administrative assistance, including managing schedules, screening calls, and handling confidential information.
- Record Keeping: Maintain a complex record and filing system, ensuring the organization and accessibility of departmental documents.
- Public Relations: Represent the department through positive interactions with customers, visitors, public officials, volunteers, and the public.
- Data Management: Compile and analyze data from various sources to prepare reports, questionnaires, budgets, and other documents.
- Communication: Prepare correspondence, memoranda, reports, and invoices, utilizing various software packages and tools.
- Budget and Payroll: Assist in the administration of the departmental budget and payroll processes.
- Supervision: May guide or orient new hires, part-time staff, volunteers, or interns.
- Office Equipment: Provide user support for office equipment and coordinates maintenance of office equipment. Maintains office supply inventory.
- Financial Management: Process invoices, incoming financials, purchase orders, track grant revenue and expenses, issues permits, and manage donations and receipts.
- Problem Solving: Address and resolve questions or problems arising during daily activities.
- Media: Website and social media creation and management. Create graphs, charts, brochures, logos, and other materials for multiple departments and administration.
- Performs other work as required and assigned.
Qualifications
- High school diploma
- One (1) year experience in an administrative support position, or similar, that require independent thinking, accountability, judgement, and organizational awareness rather than routine clerical assignments.
