The Plano Arts & Events Department is seeking a highly organized and detail oriented person to become the next Special Events Supervisor for the City of Plano. This position is responsible for managing the day-to-day tasks associated with planning community events, from large scale festivals to weekly downtown concerts, and everywhere in between. If you excel in a fast paced environment that demands creativity and flexibility, enjoy challenges and problem solving, and thrive in a leadership capacity, this job may be for you. This position supervises a regular full-time staff that is tasked with third party event permitting and event coordination, and is also largely involved in the marketing of events – supervisory experience and an interest in event marketing is highly preferred in candidates for this position.

The target annual salary for this position is: $57,107 - $65,675, depending on qualifications.
Flexible start schedule, either 8:00 a.m. - 5:00 p.m. or 9:00 a.m. - 6:00 p.m.
Flexible schedule during event weeks. Compensatory time earned at time and a half for overtime worked. Some nights and weekends required, depending on event schedule and needs. July 4th is a required work day for this position.
Summary of Duties: Under general supervision, the Special Events Supervisor is responsible for Special Event logistics, planning and execution of events produced by the Arts, Culture, and Heritage division & the Special Event Permit process.

Minimum Qualifications
Knowledge of: Event planning and coordination, industry standards for artist fees and appeal; typical concert & event technical requirements; applicable City codes and ordinances; basic accounting principles and practices.
Skill in: Communicating effectively both verbally and in writing; addressing and resolving conflicts; operating a personal computer including standard spreadsheet and word processing software. Being organized is a must.
Education: High school diploma or GED equivalent; Bachelor’s degree in Arts Management or related field preferred.
Experience: Three (3) years of progressively responsible experience in event planning, coordination, and management, or experience in project management
Any work related experience resulting in acceptable proficiency levels in the above Minimum Qualifications is an acceptable substitute for the above specified education and experience requirements.
Licenses and Certifications: Texas Class C driver’s license.
Physical Demands and Working Conditions: This classification requires siting and standing in work areas and walking between work areas and event sites. Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or calculator ; vision to read printed materials and a computer screen; hearing and speech to communicate in person and over the telephone . Positions in this classification bend, stoop, kneel, reach, push, and pull event equipment. Employees must possess the ability to lift, carry, push, and pull materials and objects weighing up to 40 pounds when participating in event set up and breakdown. Prolonged hours of being on your feet is common and expected.
Employees work both indoors and outdoors with direct exposure to moderate noise levels and event equipment. Employees may interact with upset staff and/or public and private representatives, and will be expected to de-escalate every situation.

- Oversees the planning and coordination of events produced by the City of Plano Arts, Culture and Heritage division.
- Designs and executes festivals and events to stay relevant within art leadership in North Texas.
- Curates, oversees and implements event activities to create a customized experience for attendees.
- Clearly communicates and coordinates event needs with the entire event team on a consistent basis.
- Creates purchase orders and check requests; reconciles planned costs verses actual costs of events.
- Oversees & evaluates artist/talent & programming for events.
- Negotiates contracts for entertainment and corporate sponsorships.
- Establishes and implements marketing plans for City of Plano events.
- Manages the coordination of event vendors, the Downtown Plano holiday lights contract and other assigned contracts.
- Prepares and maintains attendance reports on a daily, weekly, and monthly basis for events; prepares and maintains event program evaluations on a quarterly basis.
- Hires, trains, supervises, and evaluates staff. Coaches and develops staff to excel in current positions and provides opportunities for professional growth.
- Acts as staff liaison to large festivals that the city has partnered with through a binding contract.
- Researches and implements innovative event strategies on an annual basis.
- Maintains working relationships with other city departments and outside resources which interact with Special Events.
- Regular and consistent attendance for the assigned work schedule is essential. Work schedule can vary depending on events.
- Performs other duties as assigned.
