Distinguishing Features Of The Class
This is a high-level administrative position that serves as a senior executive assistant to the Office of the Chief Executive and acts as its principal administrative staff.
Responsibilities include collecting information and data for administrative studies and determinations, making recommendations of methods for handling a wide variety of administrative challenges and opportunities. This is important office management and liaison work involving frequent exercise of independent judgment in planning and coordinating non-technical activities of the office. The work involves responsibility for personally handling administrative details, coordinating City wide activities, projects, and programs. Routine duties are performed in accordance with general direction received when conducting administrative studies and liaison work. Recommendations for administrative determinations are subject to review and approval. Does related work as required.

Typical Work Activities
- Responds to external agencies, municipalities and residents requests, researches and provides information.
- Composes correspondence, memoranda, reports, informational material, Council items, and minutes of meetings, hearings and conferences.
- Coordinates policy research and special projects.
- Prepares and develops the annual office budget.
- Utilizes Microsoft Office (Outlook, Word, Excel and Power Point), Adobe Acrobat and social media platforms.
- Serves as liaison for informational purposes between department officials and public/nonpublic officials.
- Reviews and answers questions regarding various permit requests.
- Monitors and follows up on department responses to Citys 3-1-1 call center.
- Transmits information or instructions from the Executive Office to the appropriate staff orally, in writing, or electronically, and follows up to see that instructions are followed and deadlines are met.
- Provides statistical and pertinent information for grant applications in working with the citys grant writer and city departments.
Either
- Graduation from a regionally accredited four (4) year college or university with a bachelors degree and two years of full-time paid experience in an administrative capacity or as an office manager supervising the work of others, one (1) year of which must have been in the following fields: accounting or finance administration, public administration or business administration.
- Graduation from a regionally accredited two (2) year college or university with an associates degree and four (4) years of full-time paid experience in an administrative capacity or as an office manager supervising the work of others, one (1) year of which must have been in the following fields: accounting or finance administration, public administration, or business administration
