What are the responsibilities and job description for the Lead Deputy Court Clerk position at City of Kenosha?

JOB REQUIREMENTS: This is an advanced level leadership position in the

Circuit Court. Under general supervision, this position will assist

Deputy Court Clerks and Deputy Court Clerks Senior positions in training

and using efficient methods to enhance case management and customer

service. The Lead Deputy Court Clerk will assist the Court Services

Manager, the Fiscal Services Manager, and the Clerk of Court to ensure

statutory requirements of the Clerk\'s office are met, while optimizing

efficiencies and training opportunity of court staff responsibly. This

position will assist in training new and existing Deputy Court Clerks on

processes relating to the unit specified above. The Lead Deputy Court

Clerk will provide ongoing updates and suggestions to management

relating to service improvements, performance improvements, and Deputy

Court Clerk development. The Lead Deputy Court Clerk must be able to

understand implications of meeting the statutory requirements for proper

court record management, be able to assess and monitor training needs of

unit staff, assist with training, develop and maintain reference and

training materials, and review generated reports for trends. As a sworn

Deputy Court Clerk, the Lead is expected to learn all functions of the

position, including clerking in a courtroom. The Lead Deputy Court Clerk

must provide outstanding professional customer service with both

internal and external individuals; be able to manage a workload by

timely and accurately meeting statutory timelines; have impeccable

attention to detail in all assigned work; be comfortable interacting

with judges, commissioners, attorneys, colleagues, public, and executive

level management on a daily basis; be able to train other deputy clerks

on duties assigned to this position; be committed to continuous

learning; and be able to thrive in a fast-paced environment. Working

under the direction of the Clerk of Court and assigned supervisor, this

position will provide administrative support for the operations of the

court by assisting management in ensuring proper training of staff,

process improvements, correct court record management, and support

employees in enhancing program knowledge. Duties include: Uses state and

county policies and reports to provide record and financial case

management assistance to the assigned unit staff Timely and accurate

indexing, filing, and scanning of court documents Processes payments,

issues receipts, and completes account and data entry duties Ensures

unit staff are compliant with Model Court Recordkeeping procedures In

coordination with management, assists with training and development of

unit staff Continuously monitors the training needs of unit staff and

provides support as it related to court policies and processes Must be

flexible with work assignments within the unit Collaborates on proper

caseload management with court staff Represents the Clerk of Court\'s

office at state or local meetings Prepares and reviews reports

associated with caseload management as needed by management Prepares and

disseminates calendars Works directly with management to create

efficiencies that enhance day-to-day operations and customer service

Performs all duties associated with a Deputy Court Clerk within unit

Serves as liaison to stakeholders, including law enforcement, litigants,

attorneys, and service providers Maintains electronic court files

Prepares documents and follows procedures in accordance with statutory

time limits Explains court procedures, processes, rules, and

requirements without providing legal advice Performs financial

transactions Performs other duties as required or assigned \*\*\*\*\*

OTHER EXPERIENCE AND QUALIFICATIONS: Experience Minimum two years of

experience in Circuit Court Family Unit Success Factors Knowledge of

legal terminology and court procedures Knowledge of CCAP database

Knowledge of Court related financial duties Knowledge of Court

ecordkeeping policies Ability to provide deputy clerk duties in a

courtroom setting Ability to perform basic math functions with

assistance of technology Ability to perform a variety of duties, often

changing from one task to another Ability to handle multiple procedural

processes simultaneously Ability to provide quality customer service

Ability to type accurately and efficiently Ability to follow schedules

and deadlines Ability to follow oral and written instructions Ability to

maintain confidential information regarding court records and

proceedings, as well as personal identifying information Ability to

operate a variety of office equipment including a computer, calculator,

scanner, telephone, and fax machine Ability to be professional and

courteous Ability to work respectfully in a diverse and inclusive

environment Ability to write clear and concise training materials and

draft documents Ability to evaluate court record case management

processes Ability to exercise critical thinking and problem-solving

techniques with effective time management and prioritization Ability to

efficiently use the CCAP database, Microsoft Word, Excel and Outlook

Ability to understand and apply Kenosha County Circuit Court rules and

court procedures Ability to effectively use legal terminology and

understand legal documents Ability to adhere to strict confidential

guidelines Ability to thrive in a fast-paced environment Skill in

customer service Skill in organization and recordkeeping Skill in
