Reservationist

JOB SUMMARY
The incumbent under the guidance of the Deputy Director of Parks and Recreation is responsible for processing all lease and Parks revenue into both the booking program and ERP system. The incumbent is also responsible for assisting with facility maintenance and the coordination of programs held in the community centers and other duties as assigned.

ESSENTIAL DUTIES/RESPONSIBILITIES
Note: All City of Fort Smith positions require the employee to provide good customer service to both internal and external customers, maintain positive and effective working relationships with other City employees, and have regular and reliable attendance that is non-disruptive. Must show cooperation and respect to fellow employees and supervisors at all times. All other duties as assigned by the immediate supervisor and/or department director.

  • Provide excellent customer service and answer incoming calls and questions from the general public and to promote all park activities.
  • Convert incoming inquiries (i.e. phone and email) promptly into reservations through the City’s booking software.
  • Coordinate with City departments to schedule and setup for meetings.
  • Maintain knowledge of all current events, activities, parks, and hours of operation for parks and facilities.
  • Prepares and processes rental agreements for facilities while ensuring information is accurate, payment has been received, document is signed by the appropriate party, and citizens have been informed of the rules/regulations.
  • Collect, process, receipt, and key data for all monies received from reservations, commissions, and donations.
  • Assists in daily indoor and outdoor facility maintenance (ex. janitorial).
  • Assists in recreation programming (ex. City Play Day and Movies in the Park).
  • Assist Parks Administration on any duty assigned.
  • This position does require occasional weekend/evening work with advance notice.

Minimum Qualifications
  • High School diploma or GED.
  • Two (2) years’ experience or training in office procedures is preferred, but not necessary.
  • Must have a valid driver's license.

  • The incumbent should possess knowledge of basic computer and office skills.
  • Problem solving, and analytical ability are required to perform the duties of this position.
  • Good communication and interpersonal skills are also required.

POSITION DESIGNATIONS
This position is not designated as essential during inclement weather events. City services will be maintained during inclement weather, such as heavy snow or ice storms and all essential employees are expected to report to work due to the critical functions of the position. This position is able to work remotely.

This position does have the potential to drive as part of their regular job duties.

This position is designated as a safety/security sensitive position and is subject to random DOT drug and alcohol screenings and/or non-DOT drug and alcohol screenings (a safety/security sensitive position is one in which a momentary lapse in attention may result in injury or death of another person).

Semi-repetitive type of work which requires periods of concentration for varied time cycles as prescribed by the task(s). While performing the duties of this job, the employee must occasionally stand, walk, talk and hear. Frequently sit, use hands to handle objects, and reach with hands and arms. The incumbent must also stoop, kneel and crouch. Specific vision abilities required by this job include close, color and distance vision.

The employee is occasionally required to lift up to 25 pounds.

Normal working conditions found within an office setting, wherein there is controlled temperature and a low to moderate noise level, plus a minimum of distractions.
