The background investigation process commonly takes 6-8 weeks to complete.

As An Administrative Assistant II, You Will
- Screens, prioritizes, routes incoming mail, phone calls and visitors for the Division Commander.
- Composes and types memos and letters from briefs, written/oral instruction. Types major projects and forms and compiles necessary reports.
- Monitors and tracks the Footprints system for the Chief’s/Mayor’s Office.
- Designs, organizes and maintains filing system, office forms and formats for reports and correspondence.
- Is able to enter meetings for the Community Rooms and Investigations conference rooms.
- Tracks incoming complaints, Internal Affairs complaints, and maintains purge file.
- Reconciles monthly VISA purchases, runs reports, and submits statements for approval.
- Takes minutes at Direct Reports and Staff meetings, as well as other appointed outside meetings.
- Monitors the Division Commander’s phone, responds to inquiries and refers calls to appropriate personnel.
- Maintains appointment calendar for Division Commander. Coordinates meetings with Division personnel.
- Coordinates the collection of all monthly reports and produces a formatted report for the approval of the Division Commander.
- Coordinates repair services for office equipment. Creates work orders for IT issues and all problems within the buildings and the grounds.
- Other duties as assigned
- Basic computer experience with proficiency in Microsoft Word, Outlook and Excel
- Proficiency in data entry.
- Ability to perform basic arithmetic operations
- Ability to work independently.
- Ability to make sound decisions
- Ability to maintain strict confidentiality.
- Knowledge of modern office procedures, methods, and equipment including computers and supporting software
- Ability to communicate clearly and concisely, orally and in writing
- Ability to establish and maintain effective working relationships
- Equivalent to completion of the twelfth grade (high school diploma or GED).
- Three years of full-time, professional experience in a related field.
- Possess or obtain upon hire, commission as a Colorado Notary Public
Preferred Qualifications
- Strong knowledge of Microsoft Word, Excel and Outlook.
- Familiarity with Access and PowerPoint.
- Good public relations skills and a high degree of independent initiative, creativity and confidentiality.
- Experience in Public Safety.
