GENERAL DESCRIPTION
This position is responsible for technical and administrative support position under the direction of the Public Services Director, efficiently purchase, stock and issue inventory of general inventory stock items and the distribution of those items to various departments throughout the City. In addition, this position will be required to issue purchase orders in accordance with City purchasing policy.
ESSENTIAL JOB FUNCTIONS
The following essential functions represent the primary duties of this position but should not be considered an all-inclusive list of responsibilities. Other duties may be required and assigned.
- Responsibilities include procurement and distribution of operating supplies and allocation of charges relative to the various users. The charging of parts to supply orders and identifying obsolete parts.
- Purchases all parts and supplies required for effective operations. The issuing of purchase orders and blanket PO's. Picks up parts at vendors when necessary.
- Contacts vendors regarding inventory needs, pricing, and orders.
- Maintains inventory at necessary stocking levels to service departments effectively.
- Keeps inventory storage room in a neat and orderly manner. Keep stock area clean.
- Responsible for writing Bid Documents for general inventory items, establishing contracts for repeat purchases in compliance with City policy
- Responsible for the yearly inventory.
- Performs any other duties or tasks that may be assigned.
KNOWLEDGE, SKILLS & ABILITIES
- Ability to take initiative, make judgment, utilize knowledge of department practices, policy and organization including purchasing practices.
- Knowledge of office practices and procedures, business writing, and accounting.
- Knowledge of database management, computer skills, purchasing skills, inventory skills.
- Knowledge of just-in time warehouse stocking procedure.
- Ability to communicate clearly and concisely, orally and in writing.
- Ability to work independently and with initiative.
- Ability to maintain files and related records.
- Ability to perform varied clerical and related relations rapidly and accurately.
- Skilled with computers and word processing, and learn all facets of software as may be utilized in the department for maximum utilization.
- Ability to deal with the general public in tense and sometimes difficult situations. Ability to establish and maintain effective and amiable relationships with leadership, supervisors, residents, customers, employees, other departments and agencies.
MINIMUM QUALIFICATIONS
- High school diploma or valid equivalent.
- Three (3) years of experience in office administration.
- Three (3) years inventory control experience, parts, and supply purchasing.
- Valid Florida Driver's license. A valid out of state License is acceptable, but selected candidates must obtain and provide a valid Florida driver's license within thirty (30) days of start date.
An equivalent combination of education and experience may be considered, provided that the education and experience are in a relevant and related field.
JOB LOCATION
Public Services Complex (Purchasing & Warehouse Building). Some travel to other City facilities, seminars and supply stores.
ADDITIONAL POSITION INFORMATION
- Physical Requirements: Very frequent standing, walking, pushing/pulling up to 25 lbs., and reaching overhead. Constant bending, stooping, speaking, sitting, and climbing. Occasional kneeling, crawling and lifting up to 50 lbs. Frequent exposure to heights and confined areas.
- Environment Conditions: Exposure to excessive noise and occasional noxious fumes, chemicals, extreme weather, and insects.
- Sensory Requirements: Some tasks require the ability to perceive and discriminate textures and visual cues or signals. Some tasks require the ability to communicate orally.
