Position Summary and Purpose: We are looking for an engaging Special Events Planner within driving distance of our Harrison, OH headquarters to set up and manage trade shows and internal special events for our company. In this role, you will help conceptualize and coordinate our presence at trade show events, liaise with vendors and guests, coordinate with CI staff on internal physical and virtual events and oversee the trade show and internal event operations. You will also work closely with the Marketing Manager to conceptualize and implement various strategies and tasks to ensure successful and memorable events.
- This position will require occasional travel to trade shows (~3 - 5 per year).
Duties and Responsibilities:
- When necessary, obtain permits from fire and health departments to erect displays and exhibits and serve food at events.
- Work with Marketing to design and implement efforts to publicize events and promote sponsorships.
- Coordinate with event vendors (labor, utilities, displays) to ensure successful setup.
- Organize registration of event participants.
- Read trade publications, attend seminars, and consult with other meeting professionals to keep abreast of meeting management standards and trends.
- Meet with sponsors and organizing committees to plan scope and format of events, to establish and monitor budgets, or to review administrative procedures and event progress.
- Direct administrative details, such as financial operations, dissemination of promotional materials, and responses to inquiries.
- Work closely with the Marketing Team to develop promotion materials and implement marketing strategies surrounding events.
- Conduct post-event evaluations to determine how future events could be improved.
- Train, and supervise volunteers and support staff required for events.
- Plan and develop programs, agendas, budgets, and services according to event requirements.
- Evaluate and select providers of services according to event requirements.
- Negotiate contracts with such service providers and suppliers as hotels, convention centers, and labor.
- Monitor event activities to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolution of any problems that arise.
- Maintain records of event aspects, including financial details.
- Inspect event facilities to ensure that they conform to event requirements.
- Confer with staff at a chosen event site to coordinate details including but not limited to setup and tear down of booth space.
- Coordinate the deliveries of any off-site promotional materials to ensure successful delivery and return to headquarters.
- Arrange the availability of audio-visual equipment, transportation, displays, and other event needs.
- Coordinate services for events, such as accommodation and transportation for participants, facilities, catering, signage, displays, special needs requirements, printing and event security.
- Consult with company to determine objectives and requirements for events, such as meetings, conferences, and conventions.
- Review event bills for accuracy and submit budget and expense needs to management.
Education and Experience:
Required
- Bachelor’s degree or past work experience in event planning
