Overview
Cicoria Tree Service is seeking a highly organized Office Administrator to join our team and ensure the smooth operation of our office environment. This role is vital in coordinating administrative functions, managing office procedures, and supporting team members across various departments. You will play a key role in handling day-to-day administrative tasks, overseeing vendor relationships, and promoting a positive office culture.
Duties
- Manage daily office operations, including front desk responsibilities, multi-line phone systems, and greeting visitors with professionalism and courtesy
- Balance multiple schedules daily for estimate meetings crew appointments
- Other management activities such as ordering supplies, negotiating contracts, and maintaining supplier relationships
- Handle bookkeeping and budgeting tasks using QuickBooks and SingleOps
- Maintain organized filing systems both digital and on paper, ensuring easy retrieval of documents and compliance with record-keeping policies
- Provide guidance on office procedures and workflow efficiency
- Ensure effective communication across teams through clear email correspondence, phone etiquette, and internal messaging systems
- Update company contracts and accreditaion
- Invoicing, collections, and bill payment.
- Administer company drug testing program.
Experience
- Proven 5 years experience in office management or administrative roles.
- Proficiency with QuickBooks for bookkeeping, payroll processing, and budgeting tasks
- Hands-on experience with vendor management, contract negotiations, and supply procurement
- Familiarity with onboarding processes, training programs, and employee records management
- Excellent organizational skills with the ability to multitask efficiently in fast-paced settings
- Effective communication skills—both verbal and written—to foster positive interactions with staff, vendors, and clients
- Knowledge of tree care operations and administration is a plus but not required
- Experience managing multi-line phone systems, calendar scheduling software, and filing systems .
Job Type: Part-time
Pay: $22.00 - $26.00 per hour
Expected hours: 25 – 30 per week
