Summary:
The Ambulatory Patient Access Supervisor is responsible for overseeing a team of Ambulatory Service Representatives (ASRs) who manage patient scheduling and access functions for the endocrine service line. This role ensures operational excellence in call center performance, patient experience, and scheduling accuracy while maintaining compliance with organizational standards and service-level agreements.
Responsibilities:
- Leadership & Supervision: Provide daily oversight, coaching, and performance feedback to ASRs. Monitor productivity and quality metrics using EPIC dashboards and other reporting tools.
- Operational Management: Ensure call center workflows support timely patient scheduling, referral processing, and insurance verification. Address escalations and resolve complex scheduling issues.
- Training & Development: Partner with onboarding teams to train new ASRs and reinforce best practices. Support ongoing education and competency assessments.
- Quality & Efficiency: Track KPIs such as call abandonment rates, scheduling accuracy, and patient satisfaction. Implement process improvements to enhance efficiency and reduce errors.
- Collaboration: Work closely with clinic leadership, providers, and other access teams to align scheduling practices with clinic capacity and patient needs.
- Compliance & Documentation: Maintain adherence to organizational policies, HIPAA regulations, and documentation standards
- Monitor and report on staff productivity weekly; provide monthly feedback to leadership.
- Drive continuous improvement initiatives to meet or exceed service-level goals (e.g., 80% call answer rate, reduced abandonment).
- Foster a positive team culture focused on patient-centered service.
