Office/Administrative Manager Position Summary:
Chetu is seeking a highly organized and detail-oriented Office/Administrative Manager to oversee administrative operations in our Sunrise, FL headquarters. This individual will manage part of the administrative team, handle travel coordination for company events and trade shows, and ensure the smooth operation of all administrative activities that support our Director of the Administration Department. The ideal candidate will have strong leadership skills, excellent multitasking ability, and experience managing both people and processes in a fast-paced office environment.

Essential Functions:
- Manage and oversee part of the administrative team to ensure daily operational excellence.
- Coordinate and approve travel bookings, accommodations, and expense reports for team members attending conferences, trade shows, and corporate events.
- Support and report directly to the Director of the Administration Department on all office and administrative matters.
- Maintain effective communication and collaboration across departments to ensure consistent administrative support.
- Handle vendor relationships, office supply management, and facility coordination.
- Assist with real estate and property management portfolio tasks.
- Plan and coordinate internal and external meetings and events.
- Manage expense tracking, budget reports, and financial documentation related to administrative functions.
- Maintain records, contracts, and company documentation with high attention to confidentiality.
- Oversee correspondence (emails, letters, and memos) and ensure timely responses to inquiries.
- Identify opportunities to improve administrative systems, workflows, and team efficiency.
Experience and Skills Required:
- 3–5 years of experience as an Office Manager, Administrative Manager, or in a senior administrative role.
- Proven leadership experience managing or supervising administrative staff.
- Excellent organizational and multitasking skills.
- Strong time-management, communication, and interpersonal abilities.
- Proficiency in Microsoft Office Suite and familiarity with digital collaboration tools (Outlook, Teams, SharePoint, etc.).
- Experience managing travel logistics, vendor relations, and office budgets.
- Property Management experience preferred.
- Must maintain strict confidentiality regarding company and client information.
- Proactive approach to solving operational challenges and improving team efficiency.
- Dependable transportation and valid driver’s license.
- Experience using AI-based platforms or automation tools (e.g., ChatGPT, Jasper, Salesforce Einstein, HubSpot AI, HRIS).
- Ability to integrate AI insights to optimize administrative workflows and reporting.
- Bachelor’s degree preferred.
