We’re seeking an Administrative Manager, Operations & Property Tax to join our growing team. In this role, you’ll serve as a key operational partner to firm leadership, ensuring day-to-day administrative excellence while overseeing the systems, scheduling, and external coordination that support our property tax appeal process.
What You’ll Do
• Oversee daily office operations to ensure smooth, efficient workflows across the firm.
• Supervise and support administrative professionals, including task delegation, performance feedback, and professional development.
• Develop, document, and improve internal processes, procedures, and controls that strengthen efficiency, compliance, and scalability.
• Serve as a central point of coordination between leadership, consultants, and administrative staff.
• Manage vendors, service providers, and office-related contracts.
• Support and oversee communication with Value Adjustment Boards (VABs) and County Property Appraisers’ offices.
• Ensure timely and accurate exchange of information, filings, and responses with external agencies.
• Oversee and coordinate hearing scheduling, including calendars, deadlines, and administrative requirements.
• Supervise administrative staff responsible for hearing logistics, documentation, and follow-through.
• Track appeal timelines to support operational compliance with statutory deadlines.
• Assist with recruiting, onboarding, and offboarding processes; help maintain employee records and personnel documentation.
• Support performance review processes, employee engagement initiatives, and policy development in partnership with leadership.
• Assist with benefits administration coordination, payroll support, and general compliance with Florida employment regulations.
• Support client billing processes to ensure accuracy and timeliness; assist with A/R tracking and collections follow-up.
• Handle confidential client, employee, and financial information with discretion and professionalism.
• Assist with special projects, system implementations, and operational reporting as the firm grows.
What Success Looks Like
• Appeal calendars, hearing schedules, and deadlines are managed with consistent accuracy and proactive follow-through.
• External communications with VABs and Property Appraisers are timely, professional, and well-documented.
• Administrative staff are aligned, supported, and executing reliably with clear expectations and accountability.
• Internal processes are streamlined, documented, and improving — reducing friction as the firm scales.
• Billing support and collections follow-up are consistent, organized, and handled with care and confidentiality.
• Leadership experiences an operational “lift” — with clearer visibility, fewer bottlenecks, and smoother execution.
Who You Are
• 5 years of experience in operations, office management, or administrative leadership.
• Proven experience supervising administrative or support staff.
• Working knowledge of HR processes and employment compliance.
• Experience supporting billing, invoicing, and accounts receivable/collections.
• Highly organized, detail-oriented, and confident managing multiple priorities and deadlines.
• Strong communication, judgment, and problem-solving skills, with a high degree of discretion.
• Preferred:
• Experience in a property tax consulting, real estate, legal, or professional services firm.
• Familiarity with Value Adjustment Boards, Property Appraisers, or administrative hearing processes.
• Experience working in a small or growing organization.
• Bachelor’s degree in Business Administration, Management, or related field.
