About the Role:
We are seeking a personable, organized, and proactive Assistant Office Manager to support the daily operations of our clinic. This role is a blend of front-desk reception, administrative support, and project coordination. If you love helping people, keeping things running smoothly behind the scenes, and being the go-to person others can count on, then we want you!
You’ll work closely with families, clinicians, and leadership to support day-to-day clinic operations, ensure follow-through on important details, and help create a positive, well-organized environment. Consistency, communication, and care are key. This role is great for someone who is conversational, loves to be around people, and gets tasks done.
This is a full-time, in-person position based at our clinic in Addison.
Schedule:
Monday - Friday: 8:00 AM - 5:00 PM

Key Responsibilities
- Serve as the primary front-desk and client support contact, providing friendly, professional customer service and managing appointment scheduling and inquiries
- Provide administrative and operational support to clinicians and leadership, including documentation, filing, and insurance verification
- Manage office operations such as supply ordering, inventory, and overall organization of the clinic space
- Maintain clinic accountability by running reports (including running notes), tracking follow-ups, and supporting completion of action items
- Coordinate and track the AAC process, including evaluations, funding status, device ordering, delivery, and in-center device management
- Monitor and manage email and related communications, ensuring timely and consistent follow-up
- Assist with school contracts, bid paperwork, special projects, and deadline-driven tasks to support clinic growth and operations
Qualifications
- Strong organizational skills and attention to detail
- Friendly, professional, and confident communicator
- Outgoing and confident in initiating conversations with parents, including discussing payments and enforcing cancellation policies
- Ability to manage multiple tasks and shifting priorities
- Comfortable with email, scheduling systems, and Google Suites
- Prior experience in an administrative, office, or clinic setting preferred
- Healthcare, insurance, and/or Speech Therapy knowledge is a plus but not required
