What are the responsibilities and job description for the Administrative Associate (Part-Time I) position at Charles County Government?
Performs a variety of clerical, receptionist and filing duties relative to the operation of the County Administrator and CountyCommissioners' Office.The work involves providing general support services including responsible contacts with the public and others for the purpose of facilitating the public's use of services.
- Receives, screens, logs, scans, copies and routes mail (external and interoffice); directs items to other staff or County offices as appropriate.
- Produces a variety of typed or word-processed documents such as letters, memoranda, and reports; types copy from drafts; proofs and edits typed materials for accuracy of grammar, spelling, punctuation, and format and makes corrections; ensures adherence to established style guides and formats.
- Prepares a variety of financial items such as invoices, requisitions, expense reimbursements and check requests. Works with Executive Assistant & Program Support Specialist to maintain a balanced budget for the office.
- Receives, screens, and refers telephone calls; queries callers and transfers or refers calls to appropriate staff or other offices; answers technical or substantive questions regarding office/department operations. (main line for the office)
- Receives and assists visitors to the office; queries visitors and directs them to appropriate staff or offices; answers substantive questions regarding office/department operations for the purpose of facilitating the use of services.
- Receives, screens, and refers emails sent through the web contact form on the County’s website; refers emails to appropriate staff or other offices; answers technical or substantive questions regarding office/department operations.
- Coordinates with the County’s collective bargaining team and external entities to arrange schedules, meetings, and relay or obtain information.
- Processes information by keying data into computer databases and other computerized record systems; codes and verifies data; updates, edits and corrects data files; produces computer printouts.
- Assists with other scheduling and facility reservations for the office
- Performs other related job duties as assigned
