Billing Specialist Responsibilities
- Prepare accurate monthly AIA G702/G703 pay applications for multiple construction projects.
- Work closely with project managers to confirm billing percentages, approved change orders, retainage, and progress schedules.
- Maintain job cost details and up‑to‑date contract values, budget adjustments, and subcontractor documentation.
- Process subcontractor pay applications and verify contract compliance.
- Track and manage lien waivers, certificates of insurance, and project billing requirements.
- Submit billing packages to general contractors or owners and follow up on outstanding invoices.
- Assist with month-end close reporting related to AR aging, job cost updates, and revenue tracking.
- Support audit documentation requests and internal accounting needs.
- Construction industry experience required.
- AIA billing experience required, preferably with G702/G703 formats.
- Familiarity with construction accounting systems (Sage, Vista, Procore, Spectrum, or similar).
- Strong Excel skills (pivot tables and VLOOKUP preferred).
- Ability to interpret construction contracts, billing schedules, and compliance requirements.
- Highly organized; able to manage multiple competing project deadlines.
- Strong communicator capable of coordinating with project managers, subcontractors, and billing teams.
- Detail‑oriented with excellent follow‑through.
