SUMMARY
The Legal Assistant in the New York office performs a variety of secretarial and administrative functions and provides support to assigned fee earners with various types of preparation of legal documents, research and general administrative functions.
Essential Duties and Responsibilities
• Document Production – enters, revises and drafts documents for assigned legal staff.
• Prepares and proofreads legal documents and correspondence from handwritten material or rough copy. Edits documents for proper phrasing and grammar to improve the flow of the message without altering the meaning. May reformat, spellcheck, and finalize attorney work product.
• Composes correspondence, memoranda, and drafts of routine documents for attorney's review and signature as directed by the attorney and on own initiative.
• Provides administrative assistance to the attorneys, acts as a liaison among the leadership team in London, clients, and other external partners.
• Answers the attorneys’ phones and takes, prioritizes, responds to and/or relays messages.
• Handles domestic and international travel arrangements across multiple time zones to include flights and accommodation through the firm's travel provider, ensuring adherence to firm policy, preparing detailed itineraries.
• Arranges and coordinates calendar, meetings, and events for assigned fee earners. • Takes minutes during meetings, when necessary.
• Maintains client and office files and records and must display a high level of initiative in supporting the administrative functions by proactively updating all files and procedures as required. Ensures the safeguarding, security, and appropriate access to confidential information.
• Following the Firm’s policies and procedures, coordinates arrangements for client and non-client meetings, including conference room reservations and multimedia.
• Responsible for updating and maintaining contact information and adding BD activities to the InterAction database for assigned fee-earners.
• Deals with reimbursement of expenses.
• Maintains client and administrative files in an organized manner and in accordance with Firm procedures; maintains current lists of files, account numbers, client names and addresses and other information as required. Preserves and protects the confidences and privileged communications of all clients.
• Enters attorney timesheets on a timely basis. Prepares, edits and revises client bills and arranges for timely mailing of invoices.
Other support
• Assists with evening secretarial work necessary, is flexible for weekend overtime. Actively seeks to maximize productivity and promote teamwork.
• Provides back up reception coverage where necessary and assumes other general office responsibilities as required.
• May be asked to work with other fee earners from time to time in the absence of other administrative support.
• Assigned Fee earners may change at the discretion of the Firm.
Position Specification
Work Experience
• Minimum 3 years as a Legal Assistant; Litigation background preferable.
• Document management experience essential, preferably with NetDocs
