A top, full service, boutique, law firm is seeking a Practice Team Assistant to join their Corporate team. The primary responsibilities of this role will be providing administrative support and operational coordination for the Corporate Department.
Key Responsibilities: Administrative Support
• Perform to earn supervisors’ full confidence and trust in all interactions; being mindful of quality of work, timeliness, and asking any question necessary for successful completion of assigned tasks.
• Handle confidential and sensitive information with the appropriate discretion.
• Provide administrative support to assigned partners and attorneys, including calendaring, scheduling, expense reporting, monthly billing, time entry, and preparation of correspondence.
• Draft routine communications, engagement letters, conflicts waivers, new matter memos and other administrative documents.
• Schedule and coordinate internal and client meetings, catering, and hospitality arrangements.
• Support business development including managing attorney contacts, supporting social media activities, distributing marketing communications, and planning small marketing events.
• Support document production, printing, scanning, proofreading, and other administrative functions.
• Enter daily time for timekeepers as requested.
• Arrange for messenger services, facilities department, and/or document processing services as needed.
• Assist with all other special projects, administrative tasks, or duties as assigned.
Department Operations & Project Coordination
• Support and manage department-wide initiatives and strategic projects.
o Assist department leadership with tracking strategic initiatives,action items,and follow-up on key projects.
• Serve as a liaison between the Corporate Department and administrative departments including Human Resources, Accounting, Information Technology, and Facilities.
• Coordinate department meetings, partner meetings, and monthly lunches.
Manage agendas, conference room reservations, Zoom logistics,and meeting materials.
• Manage workload reporting, attendance tracking, and departmental calendars.
• Support attorney review processes, including scheduling, documentation, summary preparation, and coordination with Human Resources.
• Assist with coordinating associate and counsel training initiatives and professional development programs.
• Prepare department communications, announcements, and reports.
• Track recruiting and hiring activity and facilitate communication among stakeholders.
• Assist with onboarding and integration activities for new attorneys joining the Corporate Department.
Skills & Experience: Required:
• High school diploma or equivalent required. Bachelor's degree preferred.
• After orientation and training, exhibit proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and other applications.
• Availability to work overtime, as required.
• Previous office experience as an Administrative Assistant.
Previous law firm or professional services industry experience.
