Overview
We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our office environment. Responsibilities
- Oversee all administrative functions, including clerical tasks such as filing, data entry, and record keeping to ensure accuracy and accessibility of information.
- Manage office supplies inventory, place orders, and coordinate with vendors to maintain optimal stock levels and service quality.
- Coordinate scheduling and calendar management for meetings, appointments, and company events to maximize team productivity.
- Supervise front desk operations, including greeting visitors, managing multi-line phone systems, and ensuring excellent phone etiquette.
- Plan and execute company events, meetings, and training sessions to foster team development and engagement.
- Handle human resources responsibilities such as onboarding new staff, managing payroll using QuickBooks or similar software, and supporting employee relations initiatives.
- Oversee office budgeting, expense tracking, and bookkeeping activities to ensure financial accuracy and adherence to budget constraints.
- Supervise office staff and support team management efforts by providing training & development opportunities to enhance skills and performance.
- Maintain compliance with health & safety regulations while managing medical or specialized office environments if applicable.
- Develop efficient filing systems for both digital and physical documents to streamline information retrieval.
- Manage vendor relationships for office supplies, maintenance services, IT support, and other external providers to ensure reliable service delivery.
- Support scheduling management for internal projects or external engagements that require detailed planning and coordination.
Experience
- Proven experience in office management or administrative roles with strong supervisory capabilities.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
- Proficiency in QuickBooks for payroll processing and financial recordkeeping; experience with bookkeeping is highly desirable.
- Strong communication skills—both verbal and written—to facilitate clear interactions with staff, vendors, and clients.
- Expertise in event planning from small meetings to large corporate events that motivate teams and impress stakeholders.
- Skilled in vendor management to negotiate contracts and maintain positive relationships with suppliers.
- Knowledge of human resources practices including onboarding, employee relations, training & development programs.
- Experience managing schedules using calendar management tools; adept at prioritizing tasks efficiently.
- Familiarity with front desk operations including multi-line phone systems and phone etiquette standards.
- Ability to handle budgeting processes accurately while maintaining detailed records of expenses through bookkeeping software like QuickBooks.
- Experience working in medical office management or similar specialized environments is a plus but not required.
