Position Summary
The Transportation Supervisor is responsible for supporting the administration, supervision, and compliance of the school division’s pupil transportation program in accordance with Virginia Department of Education (VDOE) regulations, Virginia law, and applicable federal requirements (including FMCSA regulations). This position ensures safe, efficient, and uninterrupted transportation services by coordinating daily operations, maintaining driver qualifications, overseeing fleet preventive maintenance, and serving as a required substitute school bus driver when operationally necessary.
Essential Functions

Transportation Operations & Continuity
- Ensure uninterrupted transportation services by securing coverage for bus routes during driver absences.
- Operate a school bus and serve as a substitute driver on an as-needed basis, including on short notice, to maintain continuity of operations.
- Assist in the development, revision, and implementation of bus routes to ensure safety, efficiency, and compliance with VDOE standards.
- Conduct on-route observations and ride-alongs to evaluate operations and ensure adherence to policies and procedures.
Road Conditions & Emergency Response
- Monitor weather and road conditions impacting safe transportation of students.
- Communicate with the Division Superintendent and appropriate local/state agencies (e.g., VDOT) regarding hazardous conditions.
- Provide documented recommendations regarding delays, closures, or early dismissals based on safety considerations.
- Respond to transportation-related emergencies and support decision-making in time-sensitive situations.
Driver Qualification, Certification & Regulatory Compliance
- Verify and maintain accurate records of CDL licensure, endorsements, medical certifications, and required documentation for all drivers.
- Ensure compliance with VDOE pupil transportation regulations, Virginia school bus specifications, and FMCSA drug and alcohol testing requirements.
- Coordinate and document all required drug and alcohol testing, including pre-employment, random, post-accident, and reasonable suspicion testing.
- Maintain driver qualification files in accordance with federal and state recordkeeping requirements.
Driver Evaluation & Performance Management
- Conduct formal and informal evaluations of school bus drivers, including in-route performance assessments.
- Document performance, provide corrective feedback, and report concerns to the Director of Transportation.
- Support driver training, retraining, and professional development consistent with VDOE requirements.
Fleet Maintenance & Compliance Oversight
- Assist in administering the division’s preventive maintenance program in accordance with VDOE and Virginia State Police inspection standards.
- Coordinate with maintenance personnel to ensure timely inspections, repairs, and servicing of all vehicles.
- Maintain and verify accurate maintenance and inspection records for compliance and audit purposes.
- Conduct bus check off in the afternoon.
Safety, Risk Management & Reporting
- Enforce transportation safety policies and procedures in alignment with VDOE regulations.
- Assist in the investigation of accidents, incidents, and complaints; complete and maintain required reports and documentation.
- Maintain accurate operational records including routing, personnel, compliance, and maintenance data.
- Support state reporting, audits, and compliance reviews.
Minimum Qualifications
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
- Demonstrated experience in school transportation, logistics, fleet operations, or a related field preferred.
- Valid Commercial Driver’s License (CDL) with school bus and passenger endorsements required, or ability to obtain within a specified timeframe as a condition of employment.
- Must meet all Virginia school bus driver physical, medical, and training requirements.
- Knowledge of VDOE pupil transportation regulations, Virginia CDL requirements, and FMCSA compliance standards.
- Ability to safely operate a school bus under varying road and weather conditions.
- Strong organizational, communication, and problem-solving skills.
- Ability to maintain confidentiality and exercise sound judgment.
Physical Requirements
(In compliance with ADA guidelines)
- Ability to operate a school bus, including steering, braking, and monitoring passengers.
- Ability to sit for extended periods while driving.
- Ability to climb bus steps and conduct vehicle inspections.
- Ability to lift and/or assist students or equipment as required (typically up to 50 pounds).
- Ability to respond quickly in emergency situations, including evacuation procedures.
Working Conditions
- Work is performed in both office and field environments, including school buses and transportation facilities.
- Exposure to varying weather, road, and traffic conditions.
- Work schedule may include early mornings, afternoons, and occasional evenings.
- Position requires availability for emergency response and operational needs.
Terms of Employment
- 12-month position
- Salary and benefits established by Giles County Public Schools
FLSA Status: To be determined by the school division (Exempt/Non-Exempt based on duties and salary threshold)
