OPEN POSITION: Administrative Assistant to the Assistant Superintendent of Academics
Terms of Employment: 12-Month position
STARTING COMPENSATION: Range starting at $20.81 hourly based on experience
JOB SUMMARY
This position provides high-level secretarial and administrative support to the Assistant Superintendent of Academics. Responsibilities include organizing, coordinating, and managing clerical operations and communications for the Office of Academics, while serving as a confidential assistant. This role also provides backup administrative support for Central Office functions as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES (Other duties as assigned)
- Maintains strict confidentiality and demonstrates the highest level of integrity and professionalism.
- Serves as the primary point of contact for the Office of Academics by greeting visitors, answering phones, responding to inquiries, and routing communications appropriately.
- Manages phone calls, messages, and correspondence for the Assistant Superintendent and Directors.
- Responds to inquiries related to professional development, curriculum materials, and textbooks from staff and building offices.
- Prepares, processes, and distributes correspondence on behalf of the Assistant Superintendent.
- Coordinates travel arrangements, including registrations and itinerary planning for Academic and District staff.
- Schedules and coordinates meetings, events, and activities, including logistics such as room setup, materials, sign-in sheets, name tags, refreshments, and follow-up.
- Copies, distributes, and files documents and communications.
- Maintains and oversees office equipment (e.g., copiers, fax machines) and related software systems.
- Serves as Educational Office Professional (EOP) for Summer School and the Aspiring Administrator Program, as directed.
- Maintains records of homeschooled students within the district.
- Coordinates the New Teacher Workshop and prepares materials for new teacher orientation.
- Maintains the Mentor/Mentee database and prepares completion certificates for beginning teachers.
- Maintain all records for ELL program.
- Responsible for ordering all supplies and materials for the Academics Department.
- Responsible for ordering all supplies and materials for the District that are paid for by the Academics budget.
- Maintain a spreadsheet of all purchasing.
- Responsible for ordering all supplies for assessments.
- Responsible for assembling and organizing binders for District-wide assessments.
- Responsible for purchases related to Federal Programs.
- Maintain District calendar related to the number of substitutes used throughout the year for professional learning.
- Maintain District in-service calendar.
- Assist with set up and ordering of supplies for Summer Leadership Week.
- Maintain stipend spreadsheets for summer professional development.
- Responsible for purchases related to District book adoption and maintaining records of these approvals.
EDUCATION AND/OR EXPERIENCE
- High school diploma or equivalent required; associate’s degree or higher in business administration, office management, or a related field preferred.
- Minimum of three (3) years of progressively responsible administrative or secretarial experience, preferably in an educational or public-sector setting.
- Demonstrated experience supporting executive-level administrators is preferred.
- Strong proficiency in office technology, including word processing, spreadsheets, database management, and communication platforms.
- Experience coordinating meetings, events, and travel arrangements.
- Ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.
- Excellent written and verbal communication skills, with strong attention to detail.
- Proven ability to handle confidential information with discretion and professionalism.
