Job Summary:
The Accounts Payable Clerk is responsible for processing and reconciling invoices, ensuring timely payments, and maintaining accurate financial records for the district. This role supports the district’s financial integrity by verifying vendor information, ensuring compliance with district policies, and assisting with audit, year-end, and month-end closing procedures.
Essential Duties and Responsibilities:
- Process and review invoices for completeness, accuracy, and compliance with district policies.
- Match invoices with purchase orders and receiving documents.
- Prepare and process payments via check, electronic transfer, or other methods.
- Maintain and update accounts payable record and vendor files.
- Reconcile monthly statements from vendors and resolve discrepancies.
- Assist in preparing reports related to accounts payable activities.
- Ensure timely payments to vendors and district staff.
- Respond to vendor inquiries and resolve billing issues.
- Assist with year-end closing and audit preparation.
- Maintain compliance with district policies, procedures, and applicable state and federal regulations.
- Support other finance department functions as needed.
Qualifications:
- High school diploma or equivalent; bachelor’s degree preferred.
- Preferred experience in accounts payable, bookkeeping, or related financial roles.
- Knowledge of account principles and practices.
- Proficiency with accounting software (e.g., Munis, CorePay, or similar), Microsoft Office Suite, and Google Suite.
- Strong organizational skills and attention to detail.
- Ability to handle sensitive and confidential information.
- Excellent communication and customer service skills.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Ability to lift up to 25 pounds occasionally.
Working Conditions:
