Position Summary
The Registrar Services Coordinator supports the daily operations of the Registrar’s Office by coordinating registration processes, maintaining student academic records, and providing administrative support for both traditional and online students. This position serves as a key point of communication between students, faculty, advisors, and various campus offices to ensure accurate and efficient academic record management and student service operations. The Registrar Services Coordinator plays a vital role in student onboarding, registration events, graduation processing, and overall registrar-related administrative functions.
Essential Duties and Responsibilities
Registration & Student Services
- Coordinate and assist with registration functions for both traditional and online students
- Support student onboarding and registration initiatives, including Connect Day events
- Process student schedule changes, withdrawals, and major/minor changes
- Assist students, faculty, and advisors with registration-related questions and troubleshooting
- Maintain accurate student academic records within the student information system
- Communicate important registration deadlines, policies, and procedures to students and faculty Academic Records & Reporting
- Process grade reports and grade change requests in accordance with institutional policies
- Assist with graduation tracking and maintenance of graduation spreadsheets and records
- Coordinate diploma ordering and distribution processes
- Assist with program-related administrative documentation and updates
- Ensure accuracy and confidentiality of student academic records in compliance with FERPA regulations Administrative & Operational Support
- Manage registrar-related email communication and general office correspondence
- Coordinate ordering of office supplies, diplomas, and departmental materials
- Assist with data entry, filing, document management, and reporting functions
- Support Registrar’s Office initiatives, projects, and process improvements
- Collaborate with Academic Affairs, Advising, Financial Aid, Business Office, and other campus departments to support student success and institutional operations
Qualifications
- Associate’s or Bachelor’s degree preferred
- Previous experience in higher education, academic administration, student services, or office coordination preferred
- Strong organizational and multitasking skills with attention to detail
- Excellent written and verbal communication skills
- Ability to manage sensitive information with professionalism and confidentiality
- Proficiency in Microsoft Office Suite and database/student information systems preferred
- Ability to work collaboratively in a fast-paced, service-oriented environment Knowledge, Skills, and Abilities
- Knowledge of registrar processes and academic records management preferred
- Ability to prioritize tasks and meet deadlines with accuracy
- Strong customer service and interpersonal communication skills
- Ability to adapt to changing institutional needs and processes

- Ability to occasionally lift and move office materials up to 25 pounds
