Responsibilities
- Manage front desk duties, greeting visitors and clients with professionalism and warmth.
- Operate multi-line phone systems, directing calls accurately and courteously.
- Maintain organized filing systems, both physical and digital, including data entry and document proofreading.
- Handle calendar management for staff schedules, appointments, and meetings with precision.
- Utilize computer skills across Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare reports, correspondence, and presentations.
- Perform clerical tasks such as photocopying, faxing, mailing, and inventory management of office supplies.
- Provide exceptional customer service by supporting client inquiries via phone or email while maintaining excellent phone etiquette.
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to support basic financial record keeping.
- Support office management activities by coordinating maintenance requests and ensuring a clean, organized workspace.
- Offer personal assistant support to executives or team members as needed to enhance productivity.
Skills
- Proven experience in office administration or clerical roles with strong organizational skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace applications, and data entry accuracy.
- Excellent communication skills in English; bilingual abilities are highly desirable.
- Knowledge of multi-line phone systems and professional phone etiquette.
