Compensation Range: $50 - 57 per hour

We are seeking a dedicated professional to serve as the Event Manager. In this critical role, you will be the driving force behind the success of all onsite experiences within your zone.

Your core responsibility will be to seamlessly bridge the gap between various business units, exhibitors, and operational partners, ensuring a flawless execution from the initial load-in through to the final load-out.

Responsibilities:
Core Responsibilities & Stakeholder Management

  • Central Liaison: Serve as the primary onsite contact for all business units and exhibitors within your area. Build and maintain strong communicative relationships with partners and sponsors.
  • Strategic Collaboration: Coordinate closely with ACC, Freeman, Operations, Security, IT, and Catering to ensure operational efficiency. Address exhibitor concerns by troubleshooting issues or escalating to key contacts.
  • Deliverable Oversight: Attend and contribute to design and space review sessions, providing relevant feedback to ensure spaces meet production standards.
  • Proactive Problem Solving: Anticipate potential logistical hurdles and work collaboratively with partners to resolve issues before they impact the guest experience.
  • Reporting & Escalation: Act as a filter for inquiries; answer standard questions directly while flagging high-priority or complex issues to the Event Producer to maintain consistent messaging.

Operational Execution & Logistics

  • Load-In/Out Management: Oversee the full lifecycle of the event area, ensuring all Business Units and Sponsors are ready for installation and final removal. Ensure all spaces are cleared by venue deadlines.
  • Venue Liaison: Serve as the primary bridge between exhibitors and facility management for any infrastructure or maintenance needs.
  • Show Readiness: Supervise the daily opening and closing procedures. Ensure all exhibits are "show ready" by deadline, remain operational throughout the day, and are cleared of guests efficiently at night.
  • Guest Control Coordination: Partner with Security and Ops to troubleshoot crowd flow and guest needs within your zone.
  • Real-time Communication: Act as the lead dispatcher for schedule changes or updates, ensuring all parties are informed of shifting timelines.

Meetings, Site Visits, and Visibility

  • Planning Participation: Attend production meetings, site walkthroughs, and vendor visits to maintain total visibility of the area's specific needs.
  • Daily Syncs: Participate in daily debriefs during load-in and active show days to review progress and operational risks.
  • Risk Mitigation: Immediately notify Event Management of any developments that could alter the scope, budget, schedule, or existing contracts.

Documentation & Reporting

  • Financial Tracking: Work with partners to monitor onsite changes that may lead to incremental costs (e.g., extra security or venue labor) and provide necessary context for billing.
  • Daily Status Updates: Generate comprehensive daily reports for your area using provided templates.
  • Post-Event Analysis: Contribute to "after-action" notes and participate in wrap-up meetings to identify improvements for future events.

Qualifications:

  • Bachelor's degree in Event Management, Meeting Planning, Marketing, Business, Theater, or Communications or equivalent experience.
  • Minimum of 5 years of production management, stage management, event production, or equivalent experience.
  • Knowledge of technical design / show production (staging, video, audio, lighting) event needs.
  • Excellent verbal and writing communication skills.
  • Strong leadership skills - can lead teams and give clear direction.
  • Familiarity and / or strong use of Microsoft Office suite including Excel, Word, and Outlook.
  • Good knowledge of the brand, processes, and culture.
  • Strong organization skills.
  • Strong self-thinker, able to make smart decisions on the fly, self-drivenalignment across all teams.
