Function:
Provide confidential administrative support to the high school principal in a fast-paced environment. Serve as a key liaison between the school and the public, ensuring smooth daily operations, efficient communication, and positive interactions with students, staff, families, and the community.
Qualifications:
- High School diploma or GED required; post-secondary coursework in office administration preferred
- Previous experience in a school or professional office setting
- Proficiency in Google Workspace (Docs, Sheets, Forms, Calendar) and student information/data systems (e.g., Skyward and Infinite Campus preferred)
- Strong written and verbal communication skills
- Exceptional organizational skills with attention to detail
- Ability to maintain confidentiality and handle sensitive information with discretion
- Customer service oriented and enjoys working in a student-centered environment
- Experience or interest in website editing and social media communication preferred
- Ability to multitask and manage competing priorities in a dynamic setting
Essential Duties and Responsibilities:
- Serve as the confidential administrative assistant to the high school principal, Rocket Academy Director, and/or athletic director
- Maintain a welcoming, professional, and student-friendly school office environment
- Manage all incoming and outgoing communication, including phone calls, emails, and written correspondence, with professionalism
- Maintain accurate and up-to-date school records and filing systems for the principal, athletic director/activities coordinator, and school operations
- Prepare, type, distribute, and file documents, reports, and communications related to building functions and district requirements
- Coordinate the preparation and distribution of report cards, transcripts, and state-mandated reporting within WISEData, 3rd Friday counts, etc.
- Collect, organize, and interpret student, staff, and school data to support administrative decision-making and required reporting
- Greet and assist all school visitors in compliance with security procedures; provide information and directions as needed
- Support the care of sick or injured students in coordination with school health staff
- Assist substitute teachers with orientation, schedules, and access to necessary materials
- Process student and staff attendance and ensure accurate documentation and reporting
- Collect and record payments, forms, and related documentation as directed
- Open, review, and distribute mail and internal messages in a timely and organized manner
- Complete and submit reports as required by the principal or district administration
- Use various school and district software systems efficiently to support student and staff needs
- Maintain strict confidentiality in handling personnel, student, and district information
- Support special events, school functions, and communication initiatives, including newsletters and website updates
- Perform other duties as assigned to support building administration and school operations
