Reporting to the Business Manager, the Administrative Assistant (AA) provides professional support by handling a wide range of clerical duties. The Administrative Assistant is responsible for the functioning of the front office duties and serves as the hub of the school for students, staff, and the community. The AA assists with the ordering of school supplies and equipment. Also tasked with maintaining student attendance records and cumulative files. The AA handles day-to-day office duties for the school and may be called upon to help with specialized projects such as planning school events.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
· Serve as a central information point to the public, students and staff regarding school-related matters and procedures
· Answer incoming calls, provide information, direct calls where necessary, and take messages
· Greet visitors, handle inquiries and direct visitors to the appropriate destination
· Intake of school funds such as student fees and payments for uniforms and transportation
· Ensure the front office area is safe and clean for students and staff members
· Read, sort, and distribute incoming school mail
- Set up and maintain filing systems for students- paper and electronic
- Create, maintain, and enter information into databases
- Locate and attach appropriate files to incoming correspondence requiring a response
- Locate and provide data as requested
- Organize and maintain accurate student files and records
- Keep accurate student attendance records and submit truancy letters as required
- Verify parents' and doctors' notes and investigate any discrepancies in attendance information
· Assist with the management and correction of errors in the WISEdata database
- Operate office equipment including fax machines, copiers, scanners, and printers
- Maintain office equipment in good working condition
- Track inventory and order supplies
- Manage school processes and procedures to ensure compliance with school and District regulations
- Assist with the enrollment and withdrawal of students from school in accordance with school and district procedures
- Meet with new students and parents to help complete the registration and orientation process
- Provide school-specific administrative support processes such as student services, locker assignments, and activity forms
- Monitor front office safety procedures for the purpose of ensuring safety of students and staff
· Coordination of special events like Parent-Teacher Conferences.
· Ensure adherence to school guidelines, values, laws, and norms
· Maintain records as required.
· Report possible cases of neglect or abuse and refer students and parents to resources outside of the school for additional support.
· Articulate to the community and families the vision and mission of Destiny High School.
- Respond to emails in the electronic mail system and coordinate the flow of information internally and externally
- Prepare and distribute appropriate communications including newsletters, emails, and announcements.
- Assist in preparation of a variety of documents including correspondence, agendas, event programs, report cards, and running lists
- Assume all other responsibilities as assigned by the Business Manager

Manual and finger dexterity required to operate machines and equipment precisely and rapidly. Temperament: adaptability to perform in a diverse school setting with student, staff, and community engagement.
