About the Role
We are seeking a highly organized and detail-oriented Legal Assistant to join our Commercial Real Estate practice group in New York. This role is perfect for a motivated professional who thrives in a fast-paced environment and enjoys supporting multiple attorneys across a busy transactional practice.
Key Responsibilities
- Provide comprehensive administrative and legal support to multiple attorneys in the Commercial Real Estate practice group.
- Assist with all phases of commercial real estate transactions, including acquisitions, dispositions, leasing, financing, and closings.
- Prepare, edit, and format legal documents, including contracts, leases, closing binders, correspondence, and transactional documents.
- Coordinate closings, including tracking key dates, preparing closing checklists, and communicating with clients, lenders, and title companies.
- Manage attorney calendars, schedule meetings, and organize case-related files (physical and electronic).
- Perform due diligence tasks such as ordering title searches, surveys, lien searches, and gathering other relevant documentation.
- Handle document management using the firm’s DMS (Document Management System) and maintain version control of transactional documents.
- Proofread and redline documents for accuracy, grammar, and formatting consistency.
- Assist with billing processes, time entry, and expense reporting for assigned attorneys.
- Serve as a point of contact for clients, ensuring professional and timely communication.
Qualifications
- Minimum 2 years of experience as a Legal Assistant or Legal Secretary, with a focus on commercial real estate transactions.
- Exposure to residential real estate work is a plus, but commercial experience is required.
- Experience supporting multiple attorneys in a law firm environment (not a sole practitioner).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with document management systems.
- Strong organizational skills and ability to prioritize competing deadlines.
- Excellent written and verbal communication skills.
- High attention to detail, discretion, and a proactive approach to problem-solving.
Education
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
Salary : $85,000 - $100,000
