Youth Discipleship Administrative Assistant
St Patrick Catholic Parish
19 hrs/week
Reporting to the Director of Youth and Family Discipleship, the Youth Discipleship Administrative Assistant provides administrative support for parish ministries serving youth from Pre-K through 12th grade. This role contributes to the formation of young disciples by supporting the CGS (Catechesis of the Good Shepherd) Coordinator and the Coordinator of Youth Discipleship in offering welcoming, organized, and well-communicated ministry programs, events, and sacramental preparation.
Key Responsibility Areas:
1. Programs amp; Events
Works closely with the CGS Coordinator and Coordinator of Youth Discipleship to support smooth and effective execution of ministry programs and events for youth:
- Provides on-going administrative support for Catechesis of the Good Shepherd, Ignite, Young Church, and sacramental preparation
- Supports registration processes for Pre/K-12 events and programs
- Assists with logistics for special events such as retreats and sacramental celebrations
- Prepares ministry materials and supplies as needed
- Drafts and updates documents, spreadsheets, and forms
- Assists with payments, invoices, reimbursements, and purchases
2. Communication amp; Family
Provides administrative support to ensure clear and consistent communication with families, participants, and volunteers:
- Responds to emails, phone calls, and ministry inquiries
- Assists families with registration, program information, and resources
- Distributes timely communication to participating families
- Assists with bulletin announcements, website updates, and other communication channels
- Supports communication with St. Patrick School staff related to student data, sacramental preparation, and ministry event information
3. Records Management amp; Data Organization
Maintains accurate ministry records and organizational systems, including:
- Manages registration, enrollment, and attendance data
- Maintains accurate participant and family data in parish database systems
- Updates and maintains sacramental records for First Communion and Confirmation
- Records and tracks completion of preparation requirements for First Communion amp; Confirmation
- Organizes digital and analog ministry files
- Coordinates with school administrative staff to share information and family data
The Ideal Candidate Must:
- Be an intentional disciple of Jesus Christ, faithful to the magisterium of the Church, and
- passionate about making disciples of Jesus
- Be committed to growing in holiness through daily prayer and personal conversion
- Be hospitable, approachable, and able to interact positively with children, youth, parents, and volunteers
- Be detail-oriented and possess strong organizational and administrative skills
- Be capable of managing priorities and meeting deadlines in a fast-paced environment
- Demonstrate excellent written and verbal communication skills
- Be proficient in Google Workspace (particularly Gmail, Drive, Docs, and Sheets), or able to quickly adapt from Microsoft Office
- Demonstrates flexibility and the ability to learn new systems, software, and digital tools
- Be capable of handling confidential information with discretion
- Have prior administrative experience; ministry or parish experience preferred
- Have some schedule flexibility to permit occasional evening or weekend hours in support of significant ministry events
