Executive Assistant to COO
Cathcap is seeking a highly proactive and business-minded Executive Assistant to serve as a force multiplier for the COO and leadership team. This is not a traditional administrative role—this individual will play a critical part in driving execution, managing priorities, and ensuring organizational alignment in a fast-paced, growth-oriented environment.
Core Responsibilities
Executive & Time Management
· Own and optimize the COO’s calendar based on strategic priorities
· Prepare the COO for meetings with briefs, materials, and clear objectives
· Manage email flow, draft communications, and flag critical items
· Act as gatekeeper to protect focus and maximize impact
Business Operations & Accountability
· Track key initiatives, deliverables, and leadership commitments
· Support execution of quarterly priorities and annual goals
· Maintain Financial, Sales and HR compliance, reporting and analysis
Sales Project Management
· Coordinate internal and external meetings, including potential client interactions
· Manage special projects (research, process improvement, vendor coordination)
· Organize and maintain key documents, presentations, and systems
Communication & Relationship Management
· Serve as a professional point of contact for internal and external stakeholders
· Build strong relationships with clients, partners, and vendors
· Handle sensitive and confidential information with discretion
Qualifications
· 3–7 years supporting a COO, founder, or senior executive
· Strong business acumen (professional services or consulting experience preferred)
· Exceptional organizational and time management skills
· Proactive, solutions-oriented mindset with high ownership
· Excellent written and verbal communication skills
· Proficiency in Microsoft 365 (Outlook, Teams, Excel) and project management tools
· Experience with EOS or similar operating systems is a plus
