What are the responsibilities and job description for the Executive Assistant position at Beacon Credit Union?
To perform executive level tasks for the CEO and organization, including overseeing and assisting in the management of the CEO's schedule, arranging meetings and travel accommodations, and preparing all necessary documentation in support of objectives for the credit union. To provide additional support to the Senior Leadership and Board of Directors/Supervisory Committee as necessary, such as coordinating internal and external events, catering, and travel/lodging arrangements.
- Serves as the primary liaison between the CEO and Board of Directors and Supervisory Committee members. Manages sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the operations of the credit union. Represents the credit union and CEO in a positive light in all matters of the organization.
- Maintains a daily calendar of meetings and events for CEO, including organizing complex calendars and schedules and resolving any scheduling issues. Organizes and prepares for meetings, including gathering documents and data and attending to logistics for meetings.
- Prepares and/or assists in preparing presentations, agendas, reports, special projects, and other documents in support of objectives for the organization. Drafts, reviews, and sends communication on behalf of company senior leadership. Maintains and coordinates Senior Leadership, Board of Directors, and Supervisory Committee agendas within board management software, including assisting with document/report preparation and review of respective packets to ensure they are in proper format for presentation.
- Welcomes select credit union guests by greeting them and ensuring that their needs are met and/or coordinated amongst appropriate personnel. Screens all incoming CEO communications, including phone calls, e-mails and/or other correspondence.
- Manages vendor contracts as assigned, including maintaining data and assigning timelines to responsible credit union staff that maintain the vendor relationship.
- Administers credit union notary process, including streamlining and maintaining the continuing education and notary expiration schedule and ordering and distributing new or renewing surety bonds and notary stamps, as needed.
- Oversees company policy review process, including sending review reminders to respective department heads, providing assistance with updates to ensure they are in the approved format, and ensuring policy changes are acted upon and saved in necessary systems upon approval.
- Arranges travel and related accommodations for Senior Leadership, Board of Directors, and Supervisory Committee.
- Performs other related duties as assigned.
