Job Description
We are seeking a detail-oriented and reliable Registered Agent Specialist to join our client's team on a contract-to-hire basis. This role is responsible for processing sensitive legal mail and service of process on behalf of client companies, performing compliance-driven research and documentation, and supporting quality control across operational systems. The ideal candidate is highly organized, comfortable with time-sensitive and detail-heavy work, and able to navigate both physical mail handling and digital case-processing tools.
What You'll Be Responsible For
- Receive and process service of process and official business mail on behalf of client companies
- Document, sort, pack, and ship customer mail in accordance with established processes and procedures
- Document and reject non-customer mail daily based on team guidelines
- Manage monthly audits and ensure timely submission to appropriate entities
- Maintain office security and ensure sensitive information is not accessible to unauthorized individuals
- Perform quality control in Salesforce and work exception/unmatched queues to link documents to the correct customer record
- Research entities using RADB and Secretary of State websites, including handling name changes and former-name matching when needed
- Execute special handling workflows, including non-RADB items, misnomers, SOP returns, and resignation-related steps as required by policy
- Meet productivity and quality expectations, including same-day or SLA-driven handling of urgent and routine document work
- Maintain and organize legal documentation in compliance with company and regulatory standards
- Communicate effectively with internal and external stakeholders as needed
- Support process improvements that increase efficiency, quality, and operational consistency
Required Experience/Skills
- Punctuality and reliability in meeting deadlines and daily responsibilities
- Strong attention to detail, organization, and ability to handle time-sensitive work accurately
- Experience working in operational systems such as Google Workspace and case-processing tools
- Ability to work onsite in Brooklyn, NY 11201
- Experience with mail handling and legal documentation is a plus
Nice-to-Haves
- Salesforce experience strongly preferred
- Familiarity with RADB, Secretary of State research portals, or registered agent/compliance workflows
- Prior experience in a legal, compliance, or high-volume document processing environment
Education
- High school diploma or equivalent required; Associate's or Bachelor's degree a plus but not required
