Castle Keep Property Management is seeking a detail-oriented and experienced Bookkeeper to join our team. We offer an array of property related services to our clients including property management, construction services, handyman services, "housewatch" and more
The ideal candidate will possess a strong understanding of accounting principles and practices, with proficiency in various accounting software. This role requires meticulous attention to detail, excellent organizational skills, and the ability to manage multiple tasks efficiently. This position will also interact with our clients and need to be comfortable explaining various reports, budgets and accounting principles when needed to board members.
We are looking for an individual to work with us in person at our office in Middletown, RI
The ideal candidate will possess a strong understanding of accounting principles and practices, with direct experience in property management accounting, including condominium associations (HOAs) and investment properties. exceptional organizational skills, and the ability to manage multiple entities and financial workflows simultaneously.
This is an in-office position based in Middletown, Rhode Island.
Key Responsibilities
- Manage day-to-day bookkeeping operations for multiple condominium associations and investment properties, including:
- Accounts payable (vendor invoices, utilities, maintenance, reserves)
- Accounts receivable (owner dues, rents, special assessments)
- Maintain and reconcile association operating accounts, reserve accounts, and escrow/trust accounts in compliance with industry and regulatory standards
- Perform monthly bank and credit card reconciliations, ensuring accuracy across all ledgers and accounts
- Prepare and deliver monthly financial reporting packages for boards and property owners, including:
- Balance sheets
- Income statements
- Budget vs. actual reports
- General ledger detail
- Assist property managers and leadership with annual budget preparation, reserve planning, and financial forecasting for associations and managed properties
- Process and track owner payments, delinquencies, and assessment collections, coordinating with property managers on follow-up actions
- Support year-end financial close, including coordination with external CPAs for tax filings, audits, and reviews (HOA audits/compilations)
- Maintain accurate records for escrow accounts related to investment properties, including tenant security deposits and disbursements in accordance with Rhode Island regulations
- Utilize accounting and property management systems such as:
- QuickBooks (or similar accounting platforms)
- AppFolio (or equivalent property management software)
- Ensure internal controls and financial procedures are followed, with a strong emphasis on accuracy, transparency, and audit readiness
Preferred Qualifications
- Experience in property management, HOA/condo association accounting, or real estate finance
- Familiarity with segregated trust/escrow accounting and compliance requirements
- Ability to manage multiple entities, accounts, and reporting deadlines simultaneously
- Strong communication skills for interaction with property managers, board members, vendors, and CPAs
Qualifications
- 5 Years of bookkeeping or accounting experience (real estate/property management industry required)
- Proficiency in accounting software (QuickBooks)
- Strong understanding of property management/condominium association accounting principles
- Knowledge of financial concepts including double entry bookkeeping, debits & credits, account reconciliation, and general ledger reconciliation
- Familiarity with tax experience is a plus
- Excellent analytical skills with attention to detail and accuracy in financial reporting
- Strong organizational skills with the ability to prioritize tasks effectively
