What are the responsibilities and job description for the Administrative Assistant position at Castaway Assisted Living?
We are currently seeking to hire an Administrative Assistant to assist our Administrator in the daily operations of our facilities. The Administrator Assistant is the front line of our facilities and must present a professional demeanor both internally and externally. The ideal candidate must have prior experience working in health care/assisted living/or nursing home.
The Administrative Assistant has a variety of responsibilities which include assisting with operations, office, marketing, and more . The ideal candidate will have various tasks which will require them to work independently and within designated time frames to meet deadlines.
RESPONSIBILITIES:
1. Must be available during regular business hours to ensure that duties and
projects are completed in a timely manner.
2. Must be able to communicate effectively to co-workers, residents, family
members, case managers and other individuals.
3. Answers the telephone and general office work.
4. Orders necessary supplies and food to match weekly meal plans for each
building.
5. Stocks supplies as needed.
6. Monitors maintenance and compliance needs.
7. Maintains resident funds and shopping needs of all residents in each building.
8. Update employee directory.
9. Monitors employee training and completion.
10. Maintains resident and employee records.
11. Assist in new hire paperwork and setting up initial training.
12. Assist in creating and maintaining work schedules.
13. Other duties as assigned.

- Participates in training, in-services, and attends meetings as required.
QUALIFICATIONS:
- Must have prior experience working in Assisted Living or Nursing Home.
- Excellent Organizational Skills
- Ability to multitask
- At least 1 year prior experience working in office setting.
- Must be physically and mentally capable of performing routine job duties.
- Must be able to communicate the philosophy of the facility.
- Be personable with residents, families, and staff in a professional and cooperative manner.
- Must have compassion, tolerance, and understanding for the residents of the facility.
- Knowledge of DHS standards and regulations.
- Must be able to use a calculator, computer, Microsoft office, and have professional phone and customer skills.
EDUCATION AND/OR EXPERIENCE
A minimum of 1 year experience working in an office setting. Computer skills include word processing, database creation/maintenance, desktop publishing, spreadsheets and compiling various reports using Microsoft Office. Experience working on projects, meeting deadlines and self motivating.
Job Type: Full-time
Pay: $17.00 - $21.00 per hour
