Overview

Health Services Coordinator/CNA

Schedule: Monday-Friday 8am-5pm

Pay: $22.95 - $29.07 / hour DOE

What You’ll Be Doing

You will be responsible for all residents’ Medical Records, Quality Assurance & Safety Programs , staff coordination and scheduling, and act as the HIPAA Privacy Official. You will also support administrative work for the Skilled Nursing Facility and admission of new residents as needed.

  • Understand the importance of resident rights in healthcare as well as the community as a whole, and advocate for operations, processes, and decisions that are in residents’ best interests.
  • Update, organize and maintain all patient records, including but not limited to; patient charts, changes in medications and physician's orders and facility files.
  • Maintain confidentiality of resident records.
  • Deliver data to state and federal agencies as required by law, including physical review of physician’s orders and monthly medication records.
  • Enter newly admitted residents and admission orders into records; support leadership team with ICD-10 coding for admissions as needed.
  • Develop and coordinate staffing schedules for the Skilled Nursing Facility and communicate weekly schedules to the team. Contact staff to attempt to replace personnel who have called in sick or are absent.
  • Keep accurate E-time records and handle all payroll related activities for the Skilled Nursing Facility team including time off requests, entering missed punches and submitting payroll for approval and notifying the leadership team of attendance issues.
  • Train users, troubleshoot problems and attend corporate update meetings relating to the electronic medical records system.
  • Support onboarding by scheduling new employees for facility orientation, providing orientation packets, and reviewing scheduling practices.
  • Keep updated list of all licenses/certifications for HR Department; remind employees of upcoming due dates.
  • Support facility budgeting through invoice processing and entering of monthly ancillary charges for residents. Provide accounting with month end report for all ancillary charges.
  • Maintain supply room by ordering medical and office supplies and manage the system for tracking and charging medical supplies for the Skilled Nursing Facility. Provide accounting with annual inventory report.
  • Create and copy forms as needed to include 24 hour nurse report, incident reporting, etc.
  • Develop and implement program for maintaining the privacy of residents’ protected health information in accordance with corporate privacy policies and procedures, and Residents’ rights, in compliance with state and federal privacy laws and regulations.
  • Regulate the disclosure and protect the confidentiality of protected health information, including to third party businesses and contractors. Coordinate with HR to establish sanctions for violations.
  • Establish an internal privacy risk assessment program, and implement internal and external audits to monitor compliance with privacy policies and procedures.
  • Develop and implement necessary forms, privacy policies and procedures regarding the maintenance and destruction of records, and for responding to all complaints regarding noncompliance.
  • Oversee resident requests to access, and amend, receive accountings of and implement restrictions with respect to protected health information.
  • Provide status reports about the privacy compliance program to management and other designated individuals or committees.
  • Perform other duties as assigned.

About You

  • Minimum of 3 years’ experience in the medical field.
  • Actively licensed CNA for the state of Oregon
  • Working knowledge of long-term care facility operations and regulations.
  • Knowledge and experience of state and federal laws concerning privacy of medical information and individual rights with respect to such information.
  • Proficiency in English reading and writing with a working knowledge of medical terminology.
  • Strong computer skills, especially with an emphasis in electronic medical records systems (specifically Point Click Care and/or Matrixcare).
