Accounting Assistant

Reports To: Senior Accountant & HOA Manager

Position Overview
We are seeking a detail-oriented and organized Accounting Assistant to support our HOA management and accounting operations. This position plays a vital role in ensuring accurate financial records, timely billing processes, and exceptional service to homeowners and community residents.
Key ResponsibilitiesFinancial Operations
- Review and assign proper general ledger codes for receipts and invoices across HOA and landscape entities
- Prepare and submit cash flow reports, accounts receivable, and accounts payable reports
- Match transactions with corresponding receipts to ensure accuracy and completeness
- Perform monthly account reconciliations to maintain financial accuracy
- Prepare and process bank deposits in a timely manner
Billing & Invoicing
- Process monthly billing for landscape services and HOA management services
- Generate invoicing for trash services, HOA fees, and ARC reviews
- Coordinate with HOA General Manager to complete billing to Municipal Utility District (MUD)
- Generate monthly billing reports for landscape services
- Manage collection follow-ups and maintain accounts receivable
Community Management Support
- Process resale certifications for property transactions
- Initiate homeowner trash services
- Distribute community newsletters
- Respond to resident and community inquiries in a professional and timely manner
- Coordinate mailbox key distribution and replacements
- Assist with gate and key card issues
Additional Duties
- Complete special projects and tasks as assigned by the Senior Accountant and General HOA Manager
- Maintain organized documentation and filing systems
- Support overall accounting department operations as needed
QualificationsRequired
- High school diploma or equivalent; Associate's degree in Accounting, Finance, or related field preferred
- 1-2 years of accounting or bookkeeping experience
- Proficiency in accounting software and Microsoft Office Suite (especially Excel)
- Strong attention to detail and organizational skills
- Excellent written and verbal communication skills
- Ability to handle multiple tasks and meet deadlines
Preferred
- Experience with HOA management or property management accounting
- Familiarity with general ledger systems and account reconciliation processes
- Knowledge of accounts payable and accounts receivable procedures
- Customer service experience
