Job Summary: The Program Coordinator is responsible for providing on-site leadership and oversight across all assigned program locations. This includes conducting regular site visits to ensure program fidelity, staff support, and compliance with agency and funding requirements.

Essential Duties/Expectations:

Administrative:

  • Direct the day-to-day operation and coordination of the PSH program for person who are formally homeless and or have mental health/substance abuse issues.
  • Working closely with the onsite services team to ensure effective housing stability interventions.
  • Oversee staff compliance with HMIS and electronic health record (EHR) for reporting all programmatic and required outcomes for HUD and Managing Entity (ME) Contracts.
  • Must ensure that staff are documenting all service events, interventions and/or activities provided both timely and accurately in the persons-served electronic health record (EHR) and/or HMIS.
  • Supervise team to ensure that all service events documented in the clients EHR match service activity log and timesheets.
  • Participate with ongoing continuous quality improvement (CQI) initiatives to enhance program operations; attends the monthly CQI and/or workgroups facilitated by the management team.
  • Represent organization at meetings, conferences and workshops intended to promote the supportive housing industry and service to the homeless community.
  • Attends scheduled workshops, trainings and meetings as required;
  • Reports to the Director of Programs, Data, and Strategic Initiatives

Financial:

  • Ensure full utilization of all grant funding across operations, leasing, and services.
  • Coordinate with the accounting team to align spending with budgets and ensure timely/accurate reporting.
  • Conduct periodic resident file reviews for compliance and accuracy.
  • Collaborate with Area Managers to address property issues, subsidy utilization, vacancies, and compliance with the CSH Supportive Housing Model.
  • Support fundraising efforts, including grant applications and reporting.

Program Development

  • Collaborate with Area Managers, Property Managers, and Services Teams to establish community-building activities (e.g., tenant councils, resident meetings, workshops).
  • Work with all Subcontractor’s to ensure compliance with grants/contracts.
  • Ensure compliance with Land Use Restriction Agreements (LURA), and contracts & grants
  • Build and maintain partnerships with local/state agencies to expand resident access to services.
  • Develop initiatives that increase resident satisfaction, enhance daily living skills, and strengthen housing stability.
  • Oversee coordination of resident employment activities, onsite and through community partners.

Tenant/Resident Relations

  • Collaborate with Area Managers to ensure community safety, security, and incident response.
  • Support the development and success of Resident Councils, including monthly meetings and Board-level resident representation.
  • Provide crisis intervention services as needed.
  • Meet with Area Managers at least twice per month to coordinate programming, address resident concerns, and build strong team alignment.

Staff Management

  • Supervision of the Assistant Program Director through weekly meetings to review programming, resident issues that may affect housing and or the overall community, conduct file reviews, and budget utilization and planning.
  • Conduct periodic case staffing to address needs, strengths and employability skills, review HSP & resident progress and assess at-risk and high needs residents for appropriate placement.
  • On-going coaching of staff to ensure service interventions provided to residents are documented accurately and timely in the clients file and/HMIS.
  • Responsible for ensuring that Services Staff are completing a variety of assessments at the time of Intake and every three (3) months with the resident including their Performance Outcome Measures (POMs), evaluations and diagnosis records.
  • Assist in hiring, training and on-site supervision of assigned staff, including performance evaluations and progressive discipline.
  • Actively participate in individual and group supervision of staff;
  • Monitor all supportive services staff PTO and ensure the timely completion of timesheets within required periods.

Minimum Requirements:

  • Pays close attention to detail and demonstrates strong organization skills.
  • Proficient in Microsoft Office 365 programs.
  • Effective communication skills, backed by detailed written documentation and comprehensive listening skills.
  • Understanding of working directly with formerly homeless individuals and families and at-risk populations by treating all individuals with respect, and are able to build rapport by promoting empathy and compassion with patience and consistency.
  • Maintains a professional demeanor and maturity, good judgment, quick learner, and proactive
  • Willingness to improve and grow within the company.
  • Ability to multi-task, prioritize, manage time efficiently, and flexible when needed.
  • Displays qualities of a team player mentality and possesses strong work ethics.
  • Ability to work a flexible schedule, including after hours for emergencies when applicable. Travel to locations is required.

Education /Experience:

  • Master’s degree in social work, mental health, psychology or related field is preferred. In lieu of a Master’s degree, a Bachelor degree in social work, mental health, psychology or related field is required.
  • A minimum of two years’ experience working in supportive housing or related field preferred.
  • A minimum of two years’ supervisory experience preferred.
  • Knowledge of community resources.
  • Ability to work a flexible schedule and be on-call as needed for emergencies
  • Bilingual (English/Spanish or Creole/English) preferred but not required.

Licenses/Certifications: Valid Driver’s license & proof of insurance.

Salary : $65,000 - $70,000
