What are the responsibilities and job description for the Administrative Assistant position at CARLETON-WILLARD VILLAGE?
· Serve as the first point of contact in the At Home office; provide program information & support in a professional, courteous and friendly manner.
· Answer all incoming calls, check voicemails, and return calls promptly.
· Manage/oversee membership email, ensuring timely follow-up.
· Schedule ride requests and communicate any changes to the drivers.
· Call members daily to confirm upcoming rides.
· Manage registrations for all program offerings.
· Responsible for all data entry processes related to new member enrollment and resignations.
· Responsible for monthly member renewal processes to ensure timely retention.
· Responsible for event coordination, including preparation of setup forms, distribution of invitations and mailings, RSVP tracking, and oversight of day-of event setup.
· Support the preparation of the Monthly Mailer and the Gourmet to Go Menu publications.
· Update website calendar of events each month.
· Enter monthly service data into the database and assist with end-of-month compilation of member charges for Finance reporting.
· Oversee all aspects of the Gourmet to Go program, including processing incoming orders, updating the database, sending order spreadsheets to the kitchen, handling delivery reports, preparing packing tickets, and generating monthly food billing reports.
· Administrative point of contact in absence of Program Director.
· Applies “5 Star” customer service approach in all aspects of job.
· Adheres to all company policies, procedures, and standards of conduct.
· Reports to the appropriate managers any known or suspected violations of policy and procedures, regulations or standards of conduct.
· Attends required in-services and trainings.
· Performs additional duties as assigned.
