Job Responsibilities
Frankenmuth Birch Run Veterinary Hospital isn't your typical dog-and-cat-only veterinary practice. In addition to providing care for companion animals, our team also sees exotic pets, creating opportunities to learn something new almost every day.
You may greet a puppy in the morning, help a longtime client with their senior cat, and schedule an appointment for an exotic patient later that afternoon.
We also believe veterinary medicine works best when the entire hospital operates as one team. Our receptionists are an essential connection between our clients and medical staff and play a major role in keeping the hospital organized, communicating important information, and creating a welcoming experience.
What We're Looking For
We are looking for someone who genuinely enjoys working with people and animals.
The right person for this position is friendly but professional, comfortable talking with clients, able to multitask without losing attention to detail, and willing to learn.
Veterinary experience is certainly a plus, but we also recognize that great receptionists can come from other customer-service environments. Someone with strong medical reception, dental reception, hospitality, administrative, or high-volume customer-service experience may be a great fit for our team.

Job Responsibilities
- Greet clients and patients in a warm, professional manner
- Check patients in and out of the hospital
- Schedule appointments and maintain an organized appointment calendar
- Answer incoming phone calls and assist clients with general questions
- Take accurate messages and communicate information to doctors and team members
- Process invoices, payments, deposits, and other client transactions
- Maintain accurate client and patient information in the practice management system
- Assist with prescription requests and pickups according to hospital protocols
- Communicate with clients regarding appointments, medical records, follow-up needs, and prescription pickups
- Handle incoming and outgoing email, mail, medical records, and other correspondence
- Assist clients with pet food, preventatives, supplements, and other hospital products
- Maintain a clean, organized, and welcoming reception and waiting area
- Help manage patient and client flow by communicating with the medical team throughout the day
- Provide excellent customer service during both routine and emotionally difficult situations
- Maintain client and patient confidentiality
- Follow established hospital policies and procedures
- Work collaboratively with doctors, technicians, assistants, management, and fellow receptionists
- High school diploma or equivalent
- Previous veterinary reception experience preferred, but not required
- Previous customer service, medical reception, administrative, or high-volume front-desk experience is a plus
- Excellent verbal and written communication skills
- Strong customer service skills
- Strong organizational and multitasking abilities
- Comfortable working with computers, phones, email, and scheduling software
- Ability and willingness to learn new technology and hospital protocols
- Strong attention to detail and ability to accurately document information
- Ability to remain calm and professional during busy or difficult situations
- Dependable, punctual, and reliable
- Team-oriented with a willingness to help where needed
- Comfortable working around dogs, cats, and exotic pets
- Ability to communicate compassionately with clients during emotional situations
- Ability to stand, bend, stoop, and move throughout the hospital as needed
