A leading global investment firm is seeking a highly experienced Executive Assistant to support senior members of its Capital Formation and fundraising team. This is a high-exposure role operating in a fast-paced, sophisticated environment with extensive interaction across executives, investors, and internal stakeholders.
The ideal candidate is proactive, polished, highly organized, and thrives under pressure while managing competing priorities with professionalism and discretion.
Key Responsibilities
Executive & Calendar Management
- Manage complex and ever-changing calendars for senior executives.
- Coordinate internal and external meetings across multiple time zones.
- Prioritize scheduling conflicts and anticipate executive needs proactively.
- Serve as a key point of contact for executives, investors, and internal teams.
Fundraising & Investor Support
- Support fundraising initiatives and investor engagement activities.
- Coordinate investor meetings, roadshows, and offsite events.
- Assist with CRM tracking and reporting activities.
- Prepare and organize presentations, briefing materials, agendas, and meeting documents.
Travel & Operations
- Arrange detailed domestic and international travel itineraries.
- Manage expense reporting and reconciliation accurately and efficiently.
- Anticipate logistical challenges and independently resolve issues.
- Support multiple high-priority projects simultaneously while meeting tight deadlines.
Team Collaboration
- Partner closely with a broader administrative team in a collaborative environment.
- Contribute to operational efficiency and provide high-level administrative support across the organization.
Qualifications
- Bachelor’s degree preferred.
- 5 years of executive support experience required.
- Financial services, private equity, investment banking, or fundraising support experience strongly preferred.
- Experience supporting Investor Relations or Capital Formation teams is a plus.
- Exceptional organizational, communication, and problem-solving skills.
- Strong sense of discretion and professionalism handling confidential information.
- Advanced proficiency in Outlook and Microsoft Office required.
- Salesforce and Workday Expense experience preferred.
- Ability to operate effectively in a fast-paced, global environment.
