The Role
The Executive Assistant will provide administrative support to a 15–20 person investment team, working in close collaboration with another experienced EA to share coverage and responsibilities as needs arise. This position requires strong organizational skills, sound judgment, and the ability to prioritize in a dynamic but structured environment.
Office Location: Mount Kisco, NY – Westchester County
Work Model: Hybrid, 4 days onsite, 1 day remote
Business Hours: 9am-5pm
Compensation: $100-120k base DOE discretionary bonus
Key Responsibilities
- Manage calendars and schedule meetings for members of the healthcare investment team
- Coordinate internal and external meetings, including preparation of materials and logistics
- Arrange domestic and international travel using an established travel agent
- Prepare and submit expense reports in a timely and accurate manner
- Assist with meeting preparation, including agendas, materials, and follow-ups
- Maintain professionalism and discretion while handling sensitive information
- Partner closely with another EA to ensure seamless team coverage and support
- Assist with ad hoc administrative projects as needed
Qualifications
- 3–5 years of experience as an Executive Assistant or Administrative Assistant in a professional services environment
- Open to candidates from a variety of industry backgrounds
- Strong attention to detail and organizational skills
- Demonstrated ability to prioritize and manage multiple requests
- High level of professionalism and discretion
- Strong emotional intelligence (EQ) and interpersonal skills
- Flexible, collaborative, and team-oriented mindset
- Genuine interest in supporting an investment team and learning about the firm’s business
- Experience with Microsoft Office Suite required
- Experience with CRM systems (e.g., DealCloud or similar) is a plus
Salary : $100,000 - $120,000
