What are the responsibilities and job description for the Sales Coordinator position at Carbone Fine Food?
Carbone Fine Food is hiring a Sales Coordinator to serve as the operational backbone of our Sales team and a key support to our Executive Leadership. You will keep every moving piece of the sales function on track, from coordinating new customer setups and maintaining critical data across platforms to providing hands-on support to the broader executive team.
KEY RESPONSIBILITIES:
New Customer & Vendor Setup
• Manage the full new customer onboarding process: vendor forms, internal paperwork, documentation (W-9s, COIs, certifications), and system setup
• Follow up relentlessly with new accounts and internal teams to ensure nothing stalls, from initial paperwork through to NetSuite activation
• Support customer transitions (e.g., distributor to direct) by coordinating across Sales, Operations, and Finance
Data Management & Product Information
• Maintain and syndicate product data across industry platforms (1WorldSync, SPINS, Nielsen Brandbank) and retailer portals
• Keep the company price list, banking information, and customer profiles accurate and up to date across all systems
• Prepare and distribute recurring reports and trackers for Sales, Finance, and Operations
Sales Team & Event Coordination
• Handle trade show logistics end to end: hotel blocks, badge coordination, restaurant reservations, attendance tracking, and deadline management
• Support Sales Managers with presentations, spreadsheets, account trackers, broker communications, and customer-facing materials
• Coordinate client dinners, team events, and travel arrangements for the Sales team
Cross-Functional Support & Ad Hoc Projects
• Serve as the connective tissue between Sales, Finance, Operations, and Marketing on day-to-day operational needs
• Coordinate calendars, meeting prep, travel, and action item follow-up for the executive team as needed
• Maintain organized files, certifications, and documentation in shared systems (Dropbox, SharePoint)
REQUIREMENTS:
• 2-4 years in sales coordination, sales operations, or executive support, ideally in CPG or food & beverage
• Proficient in Excel and PowerPoint; experience with data syndication platforms is a plus
• Highly organized, detail-oriented, and able to manage multiple workstreams and deadlines simultaneously
• Proactive communicator who follows up, follows through, and handles confidential information with discretion
• Comfortable in a fast-paced, entrepreneurial environment where priorities shift quickly

Compensation: $70,000 - $75,000 annual salary. In addition, this role is bonus eligible.
