We are seeking a dependable, organized, and customer-focused Administrative Assistant/Coordinator to join our team. As the first point of contact for our customers, you will play an important role in creating a positive experience while providing administrative support that helps keep our office running efficiently.

Responsibilities
- Answer and route incoming phone calls, take accurate messages, and direct calls appropriately
- Greet customers, vendors, and visitors in a friendly and professional manner
- Receive, sort, and distribute incoming mail and deliveries
- Monitor and order office supplies and company apparel as needed
- Dispatch new job referrals and enter job information into DASH and third-party administrator (TPA) platforms
- Prepare new job files and ensure all required documentation is complete
- Create and assist with contract documents
- Upload and organize job notes, photos, documents, and other required information within company systems
- Maintain accurate filing systems and perform daily filing tasks
- Update and distribute the monthly on-call rotation schedule
- Operate standard office equipment, including copiers, scanners, fax machines, and postage equipment
- Provide administrative support to team members as needed
- Assist with additional office projects and special assignments as requested
Qualifications
- Minimum of one year of receptionist, administrative, or customer service experience
- Proficient in Microsoft Office, including Outlook, Word, and Excel
- Strong verbal and written communication skills
- Excellent organizational, time management, and multitasking abilities
- Ability to prioritize work and meet deadlines in a fast-paced environment
- Professional, dependable, and committed to providing outstanding customer service
